Description:

Incumbent serves as Bailiff for Superior Court 5, responsible for preparing and maintaining records of court proceedings, and assisting the public.

DUTIES

Assists in answering the telephone and greeting office visitors, providing information and assistance, taking messages or directing/transferring to appropriate individual or department.

Performs various clerical duties as assigned, including preparing court orders and correspondence, including failure to appear and for warrants issued, and reviewing prepared warrants for service to County Jail inmates, replacing files for daily schedule, ordering office supplies as needed, distributing mail, and scheduling hearings and other court proceedings as directed, pulling/replacing case files, and occasionally making travel arrangements for Judge as directed.

Oversees and assists jurors, including preparing and mailing questionnaires, information packets and summonses, providing information, responding to inquiries, escorting to lunch during trials, preparing and processing claims/vouchers, maintaining records, and serving as liaison with Judge.

Prepares courtroom and jury room on trial days, including providing supplies and beverages, and ensuring jury list has been provided to attorneys.

Maintains budget accounts on computer, including posting receipts and disbursements, maintaining current fund balances, reconciling periodically with Auditor's records, requesting additional funds or transfers as needed, attending related County Council meetings with Judge as directed. Assists Judge in preparing and presenting annual department budget.

Prepares and submits quarterly statistical report to Indiana Supreme Court as required.

Periodically assists Court Reporters or Secretary/Office Manager as assigned or as requested.

Maintains office equipment inventory and prepares/submits annual report as required.

Performs related duties as assigned.

Requirements:

JOB REQUIREMENTS AND DIFFICULTY OF WORK:

High school diploma or GED.

Working knowledge of standard office and court policies, procedures and related terminology, and ability to apply such knowledge to a variety of interrelated processes, tasks and operations.

Working knowledge of basic bookkeeping principles and ability to make simple arithmetic calculations, prepare and maintain accurate records, and balance fund accounts.

Working knowledge of standard English grammar, spelling and punctuation, and ability to type with speed and accuracy and properly operate a variety of standard office equipment, including computer, printer, telephone, typewriter, copier, calculator, fax machine, television/VCR, and transcriber.

Ability to maintain confidentiality of department records and information as required, avoid all conflicts of interest and the appearance of any conflict of interest, have and maintain a clean criminal history, and must abide by any employment standards as may be adopted for court employees.

Ability to work rapidly for long periods, work on several tasks at the same time, and complete assignments effectively amidst frequent distractions and interruptions.

Ability to effectively communicate orally and in writing with co-workers, other County departments, attorneys, jurors and the public, including being sensitive to professional ethics, gender, cultural diversities and disabilities.

Ability to understand and follow oral and written instructions and work alone and with others in a team environment with minimum supervision, often under time pressure.

Ability to regularly work evening and/or extended hours and occasionally travel out of town for meetings, but not overnight.

RESPONSIBILITY:

Incumbent performs standard, recurring duties according to well-established policies and procedures, with priorities determined by supervisor, court schedule and service needs of the public. Work is reviewed in progress and upon completion of specific duties for technical accuracy, adherence to instructions/guidelines and department policies and procedures. Errors in incumbent's work are usually prevented through prior procedural safeguards and are readily detected through standard bookkeeping checks and/or notification from other department personnel. Undetected errors may result in loss of time for correction and/or inconvenience to other departments, agencies or the public.

PERSONAL WORK RELATIONSHIPS:

Incumbent maintains frequent contact with co-workers, other County departments, jurors, attorneys, and the public for the purpose of exchanging information, and explaining policies and procedures.

Incumbent reports directly to Superior Court 5 Judge.

PHYSICAL EFFORT AND WORK ENVIRONMENT:

Incumbent performs duties in a standard office environment and in a courtroom, which may involve sitting for long periods, sitting and walking at will, walking/standing for long periods, close and far vision, hearing communication, handling/grasping/fingering objects, pushing/pulling/lifting/carrying objects weighing under 50 pounds, reaching, bending, crouching/kneeling, and handling/grasping/ fingering objects. Incumbent regularly works extended and/or evening and occasionally travels out of town for meetings, but not overnight.
