The Automotive Warranty Clerk is responsible for processing warranty claims efficiently and accurately in accordance with manufacturer and dealership policies. This position plays a key role in ensuring timely reimbursement for warranty work and maintaining positive relationships with manufacturers and service department personnel.
Key Responsibilities
Prepare, review, and submit warranty claims to manufacturers and/or vendors.
Verify criteria required by manufacturers for warranty claims and ensure proper documentation.
Monitor claim status and follow up on unpaid or denied claims.
Maintain current knowledge of manufacturer and dealership warranty policies.
Reconcile warranty payments and credits, and report discrepancies to management.
Maintain organized and up-to-date warranty files and records.
Coordinate with service advisors and technicians to obtain necessary information and documentation.
Ensure all claims are closed within specified time limits.
Support the service and accounting departments with administrative tasks as needed.
- Other duties as assigned.
Skills & Qualifications
Previous experience as a warranty clerk or in a similar automotive administrative role preferred.
Familiarity with dealership DMS systems (e.g., CDK, Reynolds & Reynolds) is a plus.
Strong attention to detail and organizational skills.
Ability to work independently and as part of a team.
Excellent written and verbal communication skills.
Proficient in Microsoft Office Suite (Word, Excel, Outlook).
High school diploma or equivalent required; post-secondary education is a plus.
