JOB SUMMARY
The Deputy Court Clerk is responsible for the daily operations of the Municipal Court as keeper of all court
records and their maintenance. The person occupying this position ensures compliance with the Constitution of
the United States, the Constitution of the State of Georgia, Department of Driver Services (DDS), Georgia Crime
Information Center (GCIC), National Crime Information Center (NCIC) and the charter and code of ordinance of
the City of Tifton.
MAJOR DUTIES
Provides assistance to the public, answers the telephone, and responds to requests for information from
the general public, attorneys, and local, state and federal officials
Prepares the court docket, including notifying all involved parties of court dates, assembling citations, and
gathering the data needed for judgments.
Processes cash receipts, court judgments, drivers' license revocations, cash bond refunds, probation
revocations, failure to comply cases, and requests for show cause hearings after judgments are assessed.
Gathers case cards, tickets, reports and run calendar for Court.
Prepares bind-overs for jury trial and ensures all bonds are properly transferred; prepares and coordinates
transfer of cases to other courts as ordered by the Municipal Court Judge.
Prepares various correspondence for the court, including collection letters, governing authority agenda
items, and miscellaneous correspondence to state, federal and local agencies, individuals, other courts,
and other departments; notarizes documents as appropriate.
Scan all documentation to case such as motions, entry of appearances and waivers, requests for
dispositions, and open records requests.
Assists judges, officers, attorneys, bonding agents, recruiters, and offenders with dispositions.
Compiles and prepares various reports for state and federal agencies, prepares bench warrants for failure
to appear cases.
Attends court sessions; prepares and distributes court calendars; records case information and maintains
files on same; ensures legal documents and motions are properly filed; secures signatures of defendants
on waivers; provides assistance regarding court procedures, sentencing guidelines, or related information
to attorneys, police officers, solicitors and the general public.
Issues subpoenas for officers and witnesses.
Transmits dispositions to the Department of Driver Services (DDS).
Post dispositions to defendant’s criminal history through GCIC Portal.
Check and process incoming mail and post payments to cases.
Greets visitors and answers telephone; provides information and assistance.
All other duties as assigned.
KNOWLEDGE REQUIRED BY THE POSITION
Knowledge of modern office practices and procedures.
Skill in operating such office equipment as a computer, calculator, typewriter, copier, facsimile machine,
and multi-line phones.
Knowledge of functions, policies and procedures of the Municipal Court.
Knowledge of city and departmental policies and procedures.
Knowledge of accounting and budgeting practices.
Knowledge of Georgia Crime Information Center (GCIC) and National Crime Information Center (NCIC).
Knowledge of applicable state and federal laws.
Knowledge of legal terminology.

Ability to professionally communicate with employees and the public, both orally and in writing.
SUPERVISORY CONTROLS
This position will be supervised by the Chief of Court.
GUIDELINES
Guidelines include city travel policies, city purchasing policies, city resolutions, city ordinances, payroll and
budgeting procedures, state budgeting laws, grant guidelines, and Employee Handbook. These guidelines
require judgment, selection, and interpretation in application. This position develops department guidelines.
COMPLEXITY/SCOPE OF WORK
The work consists of related customer service and clerical duties. Changes in legal guidelines contributes to the
complexity of the work.

Contacts are typically with co-workers, attorneys, judges, solicitors, state and federal officials, the general
public, probation, company employees and law enforcement officers give or exchange information, motivate
personnel, provide services, and resolve problems.

SUPERVISORY AND MANAGEMENT RESPONSIBILITY
None.
MINIMUM QUALIFICATIONS
Ability to read, write and perform mathematical calculations at a level commonly associated with
obtaining a high school diploma or equivalent.
Sufficient experience to understand the basic principles relevant to the major duties of the position,
usually associated with the completion of an apprenticeship/internship or having had a similar position
for one to two years.
Ability to become Court Clerk certified within one year of appointment.
Ability to become certified as a Georgia Crime Information Center (GCIC) CJIS Network Operator within 90
days of appointment.
