The Operations Coordinator (“POP Coordinator”) is a vital member of the Operations Services team, responsible for ensuring the seamless execution of daily administrative and logistical functions. This role primarily focuses on the management of our branded vehicle fleet, supporting high-impact community marketing programs, and providing cross-departmental administrative support to the HR and Operations teams. This is a full-time, in-office position in Austin, TX.
What You’ll Do
- Fleet & Risk Management
- Recordkeeping: Maintain accurate, up-to-date digital and physical files for all company-owned and leased branded vehicles and pull and coordinate files as necessary for investigations and Legal proceedings.
- Insurance Processing: Act as the primary point of contact for insurance documentation, including renewals, claims processing, and distributing insurance cards to the field.
- Compliance: Track vehicle registrations, inspections, and maintenance schedules to ensure the fleet remains compliant with local and state regulations.
- Marketing & Community Program Support
- "Cookies for Community": Coordinate the day-to-day execution of the Cookies for Community program, serving as a primary point of contact for participating organizations and internal teams. Responsibilities include handling intake requests, coordinating program logistics, setting up and tracking promotional coupon codes, preparing agreements, providing brand assets, and maintaining clear communication throughout each partnership.
- Administrative & Cross-Functional Support
- Operations Assistance: Support the Ops Services team in executing key initiatives through reporting, task coordination, and project support. This role helps ensure priorities are clearly tracked, communicated, and completed in a timely manner.
- HR Collaboration: Assist the HR department with operational administrative tasks such as food handler certifications, fleet-related driver safety checks (MVRs), assisting with internal communications and following up with store teams as well as other projects on an as-needed basis.
- Problem Solving: Serve as a resourceful point of contact for store managers and teams regarding fleet, and various other Ops Services and/or HR.
- Experience: 2 years in an administrative, operations, or logistics-focused role.
- Organizational Mastery: High level of attention to detail with the ability to manage multiple "moving parts" (literally and figuratively).
- Communication: Strong written and verbal skills; ability to interact professionally with insurance adjusters, marketing teams, and store leadership.
- Technical Proficiency: Skilled in Microsoft Office Suite (Excel, Word) and comfortable learning new fleet management or HRIS software.
- Adaptability: A "no task too small" attitude and the ability to pivot priorities in a fast-paced retail/food service environment.
- Education: College degree preferred but not required
- Ability to clearly hear and speak over the telephone
- Ability to give and receive professional written and oral communication
- Perform computer work in a stationary position for extended periods of time
- Ability to perform light work that includes moving items up to 20 pounds
- Occasionally perform work requiring the ability to operate a motor vehicle
- Occasionally perform work in a store environment requiring walking, bending/stooping, climbing stairs in hot/cold temperatures
- Must be available to work in-store during our busiest days of the year, such as but not limited to Bosses' Day, Admin Pro Day, and Valentine's Day ("All Hands on Deck" Days)
