Event Setup and Room Resets

• Set up meeting rooms, conference areas, and event spaces according to floorplans, diagrams, client specifications, or supervisor instructions.

• Configure tables, chairs, podiums, signage, staging, and basic event equipment for layouts such as banquet, classroom, theater, conference, and U-shape.

• Complete room flips and resets efficiently between events while maintaining setup quality and safety standards.

• Break down event spaces after use; return furniture, supplies, signage, and equipment to designated storage areas.

• Ensure rooms are clean, organized, and ready for the next scheduled event.

• Coordinate with facilities and audiovisual teams to support smooth event transitions.

Pre-Event Room Inspections

• Inspect rooms before each event to identify and document existing conditions or damage.

• Check walls and ceilings for cracks, water stains, chipped paint, holes, or other visible damage.

• Inspect floors and carpets for stains, tears, loose tiles, warped flooring, or other trip hazards.

• Check doors and windows for proper operation, secure locks, damaged glass, or closing issues.

• Verify that electrical outlets, power sources, lighting fixtures, and covers appear functional and safe.

• Inspect tables, chairs, podiums, and other furnishings for stability, missing parts, stains, scratches, or damage.

• Conduct basic functionality checks of available audiovisual equipment, including microphones, projectors, screens, and speakers, when applicable.

• Report safety concerns, maintenance needs, or damaged equipment promptly.

Post-Event Inspections and Documentation

• Complete post-event inspections and compare room conditions to pre-event notes and photographs.

• Identify and document new damage, spills, missing items, broken furniture, or other concerns.

• Take clear before-and-after photographs when needed, including timestamps whenever possible.

• Complete standardized digital or paper inspection forms accurately and thoroughly.

• Report findings immediately to the Venue Manager, Facilities Manager, or designated team member.

• Obtain witness or co-inspector acknowledgment when appropriate.

SKILLS

• Previous experience in event setup, banquet operations, hospitality, facilities, custodial services, moving, or similar hands-on work preferred.

• Ability to safely move, lift, push, and arrange tables, chairs, and event equipment throughout the shift.

• Strong attention to detail and ability to recognize potential safety concerns or property damage.

• Ability to follow diagrams, room layouts, written instructions, and verbal direction.

• Strong time-management skills and the ability to manage multiple event transitions in one day.

• Clear communication skills and a professional, service-focused approach.

• Comfortable working independently and collaboratively with event, facilities, and AV teams.

• Flexibility to work occasional evenings, early mornings, or weekends based on event needs.

Physical Requirements

• Ability to stand, walk, bend, reach, push, pull, and lift throughout the workday.

• Ability to move furniture and event materials safely, with or without reasonable accommodation.

• Ability to work in a fast-paced environment and meet room turnover deadlines.
