POSITION SUMMARY:
The TIBS Team Coordinator is primarily responsible for assisting in the day-to-day tasks of TIBS for Kids such as coordinating with Credentialing Team, assisting in recruitment and with the hiring process. We are seeking a detail-oriented and organized individual to join our team as a Receptionist/Administrative Assistant. In this role, you will be responsible for providing administrative support, managing phone calls, coordinating projects, and assisting with various office tasks. The ideal candidate will have excellent communication skills, strong computer literacy, and the ability to multitask effectively. The Team Coordinator will adhere to and support the mission, purpose, philosophy, objectives, policies, and procedures, and HIPPA compliance of TIBS for Kids.
KEY RESPONSIBILITIES:
- Coordinate with the Credentialing Team to ensure completion of credentialing process of all hired staff for all locations.
- Greet visitors and direct them to the appropriate person or department
- Answer and manage incoming phone calls in a professional and courteous manner
- Perform data entry tasks to update and maintain records
- Assist with calendar management and scheduling appointments
- File and organize documents both electronically and in physical form
- Communication and appointment scheduling for the clients.
- Communicate clinic/business issues with Management at an early stage.
- Be able to clearly and effectively communicate with staff and other TIBS teams (such as staff, credentialing, billing, recruitment, center directors, etc.)
- Have prompt response time to voice mail, email and other requests whether it is from supervisors, co-workers or clients.
- Post on Recruitment Websites, search for resumes, identify appropriate resumes, share with the team and schedule interviews with prospects and team
- Streamline and set up cost-effective ways of recruiting staff
- Any other task as assigned by the Team to support TIBS Team
- Assist TIBS affiliates with administrative support
Qualifications:
- Bachelor’s in Public Health or equivalent
- 1-year professional business experience
- Proven experience in a similar role as a receptionist or administrative assistant
- Strong computer literacy, including proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Ability to analyze and solve operational issue
- Strong team player

- Knowledge about insurance credentialing/billing/recruitment
- Excellent phone etiquette and customer service skills
- Ability to prioritize tasks and manage time effectively
- Strong attention to detail and accuracy in data entry tasks
- Experience with project coordination is preferred
