What are the responsibilities and job description for the Volunteer Coordinator position at Thurston County Food Bank?
SUMMARY:
This position is responsible for all aspects of the day-to-day management of the Thurston County Food Bank’s volunteer staff. Primary responsibilities include recruiting, training, and retention of volunteer staff, compiling demographic and other information as needed for planning and funding sources, compiles monthly reports as required.
KEY ROLES (Essential Job Responsibilities)
Monitors Food Bank volunteer staff to ensure compliance with Federal, State, and local program standards (OSHA, L&I), as well as Thurston County Department of Health.
Supervise, mentor, and train volunteer staff, assign tasks, resolve conflicts, assist with emotional decompression during tough situations, and create a positive, engaging, and equally accessible environment. Instruct volunteers regarding organizational safety standards and the reporting of accidents and/or incidents within the facility. Maintain volunteer relationships and communication both orally and in writing.
Train and orient volunteer staff on Federal, State, and local program standards, job requirements, philosophy, and mission of the Food Bank.
Prepare reports as required by the supervisor and funding sources in a timely and accurate manner.
Manage and maintain the program’s volunteer software system for required volunteer communication and organizational reporting.
Provide backup as needed to volunteers and program staff.
Recruit, train, and develop ongoing recognition for program volunteers. Coordinate with community organizations regarding the participation of volunteers and recognition.
Facilitate the maintenance of the buildings floor space to provide a safe and organized working space for volunteers and a clean experience for clients.
Monitor and adjust inventory for distribution. Assist supervisor in the ordering of food for distribution.
Knowledge of food management practices and standards.
Coordinate with local livestock farmers for organic food waste pickup.
Assist the program supervisor/manager/director in training and onboarding new staff, ensuring they develop the necessary skills and competencies to perform their roles independently.
Serve as an active Food Bank staff member, including participation in meetings, training, fundraising efforts, and other planned activities.
MINIMUM JOB REQUIREMENTS/SKILLS:
- 1 year experience in oversight of individuals or teams
- 1-year experience in recruitment, training, and recognition of volunteers.
- 1-year experience with warehouse equipment such as forklifts and pallet jacks.
Strong written and verbal communication skills.
Ability to work independently as well as with teams.
Washington State Driver’s License and reliable transportation to be used on the job.
Food Handler’s permit or ability to obtain one within 30 days.
COMPUTER/TECHNOLOGY SKILLS/EQUIPMENT/SOFTWARE SKILLS:
- Demonstrates ability to use Microsoft Office
- Demonstrate ability to use or learn CRM
- Regularly use hands to finger, grip, handle, or feel.
- Regularly walk, stand, and drive a car to sites and meetings.
- Occasionally reach above your head with hands and arms.
- Occasionally lift and/or move up to 40 pounds. Team lift or equipment should be used over 25 pounds.

COMPENSATION AND BENEFITS:
- Full-time: 40 hours per week
- Salary: $28.00 - $30.60/hourly starting wage (d.o.e.), $28.00 - $38.76 hourly full salary range (svc yr based)
