Business Office Manager THRYVE Healthcare is seeking an organized and detail-oriented Business Office Manager (BOM) to oversee financial operations within our skilled nursing facility. The Business Office Manager plays a critical role in ensuring accurate billing, collections, and financial documentation while supporting residents and families with financial matters.In this role, you will collaborate with facility leadership, corporate billing teams, residents, and families to ensure all financial processes are handled efficiently and in compliance with state and federal regulations.Key ResponsibilitiesOversee facility accounts receivable operations, ensuring timely billing and collections.Ensure Public Aid/Medicaid applications are completed within 7 days of admission by coordinating with Admissions and families.Utilize the Medicaid Pending Checklist and monitor pending cases.Maintain complete and accurate financial files for all residents.Enroll Medicaid and Medicaid Pending residents in direct deposit through RFMS upon admission.Run daily Direct Deposit Status reports in RFMS and verify resident statuses.Apply for Representative Payee status for Social Security when applicable and process address changes.Verify that responsible party information in PCC is accurate and complete upon admission.Assign residents to appropriate billing categories (Mail Statements / Do Not Mail Statements).Maintain and utilize the BOM Financial Share Drive Folder.Serve as the primary liaison between Corporate Billing and residents’ families for financial and billing inquiries.Provide updates to the Regional BOM regarding admissions, discharges, payer changes, Public Aid updates, and income changes.Upload all documentation and updates to the PCC resident profile (Misc Tab).Run monthly Medicaid eligibility checks (MEDI) for all Medicaid residents.Apply for BCBS secondary insurance for eligible long-term care residents without secondary coverage.Conduct weekly collection calls for private pay balances, resident liabilities, and outstanding accounts.Utilize the AR Aging Report in PCC to track and manage collections.Document collection activity in the PCC Collections Tab.Participate in weekly meetings with the Regional BOM to discuss AR and collections progress.Notify the Facility Administrator of collection concerns or accounts requiring IVD issuance.Complete Medicaid redetermination forms and submit supporting documentation promptly.Attend Medicare meetings to review covered days, secondary insurance status, and long-term resident plans.Review RFMS reconciliation reports monthly and reconcile resident trust accounts.Submit annual Social Security income updates for residents as required.Complete daily census reporting.Pay monthly resident insurance premiums from RFMS by the 5th of each month.Conduct weekly follow-ups with DHS for all Medicaid pending cases (current and discharged residents).Submit delinquent accounts to collections after all internal collection efforts have been exhausted and documented.Process daily deposits and credit card payments, submitting documentation to the AR Specialist for posting.Verify insurance coverage and eligibility for residents.QualificationsPrevious experience as a Business Office Manager, Accounts Receivable Specialist, or billing role in a skilled nursing or healthcare setting preferred.Strong knowledge of Medicaid, Medicare, and insurance billing processes.Experience with PCC (PointClickCare), RFMS, or similar healthcare billing systems preferred.Strong organizational and attention-to-detail skills.Ability to communicate effectively with residents, families, and corporate teams.Ability to manage multiple financial processes and deadlines in a fast-paced environment.Proficiency in Microsoft Office and basic financial reporting systems.BenefitsMedical InsuranceDental InsuranceVision InsuranceFlexible Spending Account (FSA)Life InsuranceShort-Term Disability InsuranceHospital Indemnity Insurance401(k) Retirement Savings PlanOn-Demand Pay OptionPaid Time Off (PTO)Tuition Reimbursement ProgramAt THRYVE Healthcare, we are committed to operational excellence and supporting the financial well-being of our residents and their families.
