What are the responsibilities and job description for the Accounts Receivable and Payroll Associate position at Thruway Fasteners?
POSITION SUMMARY
Accounts receivable duties include processing and monitoring incoming payments, ensuring accuracy and efficiency of operations and securing accurate cash balances by verifying and posting receipts. Payroll responsibilities will be to act as a backup for hourly payroll processing, when needed.
ESSENTIAL FUNCTIONS
- Process accounts and incoming payments in compliance with financial policies and procedures
- Perform day-to-day financial transactions, including verifying, classifying, computing, posting and recording accounts receivables’ data
- Gather and organize remittance advice for electronic payments, including accessing from online customer portals
- Prepare daily bank deposits
- Reconciliation of customer remittance advice data to Thruway invoices, including working with Thruway's branch staff to resolve discrepancies
- Daily reconciliation of cash receipts to system totals
- Work with Thruway's customer and operations team members to assist with awareness of past-due invoices and generation of information to facilitate collection of past due invoices
- Work with Thruway's customer and operations team members to address customer credits, including cleanup and ongoing maintenance of outstanding credits
- Monthly preparation of Sales Tax Reports for NY and various other states
- Serve as backup for weekly payroll preparation and assist with payroll-related tasks as requested
- Accounts payable invoice entry in overflow or vacation situations
- Other office tasks as requested
EDUCATION
- AAS degree in Finance, Accounting or Business Administration preferred
- High School diploma
EXPERIENCE
- Required two (2) years' proven experience and proven working experience as an accounting associate
- Specific experience with accounts receivable is required
- Payroll experience would be helpful
QUALIFICATIONS & COMPETENCIES
- Solid understanding of basic accounting principles
- Proven ability to calculate, post and manage accounting figures and financial records
- Demonstrated ability to handle confidential and sensitive information with professionalism and discretion
- Data entry skills along with an aptitude for numbers
- Experience with spreadsheets and accounting software, knowledge with Great Plains accounting software is a plus.
- Proficiency in English and in Microsoft Office
- Experience preparing payrolls and ADP payroll system is preferred
- Customer service orientation
- High degree of accuracy and attention to detail
- Excellent research and record-keeping skills
- Good verbal and written communication skills
- Strong math and computer knowledge so the work is accurate and timely
- Possession of Valid Driver’s License and reliable transportation
WORK ENVIRONMENT
- Steady-paced and flexible office environment
- Estimated to be sitting 80% of time / standing and movement 20% of time
- Travel to local post office
