Duties
- Greet clients warmly upon arrival, ensuring a friendly and professional first impression
- Manage multi-line phone systems to schedule appointments, answer inquiries, and provide information
- Maintain accurate client records using computer skills, including data entry and filing in electronic systems
- Coordinate appointment scheduling and calendar management for providers using Google Workspace or similar tools
- Handle office management tasks such as filing, proofreading documents, and managing correspondence
- Support customer service efforts by addressing client questions, providing support, and ensuring a positive experience
- Assist with office tasks like bookkeeping using QuickBooks or other accounting software, along with general clerical duties such as typing and document organization
- Maintain cleanliness and organization of the front desk area to ensure a welcoming environment
- Demonstrate excellent phone etiquette while managing appointment confirmations and follow-ups
- Managing front desk assistants time, time off
- Performs related work as required.
Qualifications
- Proven office management or administrative experience in a medical setting preferred
- Strong computer literacy with proficiency in Microsoft Office Suite, Google Workspace, and data entry skills
- Exceptional organizational skills with the ability to multitask efficiently in a fast-paced environment
- Excellent customer service skills with a friendly demeanor and professional phone etiquette
- Knowledge of clerical tasks such as proofreading, filing, and calendar management is essential
- Familiarity with office equipment including multi-line phones and office management software preferred
- Ability to handle confidential information discreetly while maintaining accuracy in record-keeping
