- Coordinate all transaction details including contracts, disclosures, and escrow instructions to ensure accuracy and timeliness.
- Maintain comprehensive transaction files using productivity software such as spreadsheets and Word processing tools, ensuring all documents are complete and properly organized.
- Communicate effectively with clients, agents, lenders, escrow officers, and other parties via phone and email to facilitate smooth transaction progress.
- Manage calendar schedules for appointments, inspections, appraisals, and deadlines using calendar management tools.
- Utilize office management systems and data entry skills to track transaction statuses and update records regularly.
- Provide exceptional customer support by addressing inquiries promptly and professionally while maintaining excellent phone etiquette.
- Handle multi-line phone systems efficiently while providing front desk support when needed.
- Proofread documents for accuracy and clarity before submission or signing.
- Assist with office management tasks such as filing, organizing paperwork, and supporting team members with administrative duties.
- Demonstrate technical proficiency in Microsoft Office suite (Word, Excel) and QuickBooks for financial tracking when necessary.
Experience
- Previous clerical or administrative experience within the real estate industry is highly preferred.
- Proven office management skills including data entry, document proofreading, and calendar coordination.
- Strong computer literacy with proficiency in productivity software such as Microsoft Office (Word, Excel), spreadsheets, and data management tools.
- Excellent organizational skills with the ability to multitask effectively in a fast-paced environment.
- Customer service experience demonstrating professionalism in client communication via phone or email.
- Familiarity with multi-line phone systems and front desk operations is a plus.
- Bilingual abilities are advantageous for serving diverse client needs.
