DIRECTOR OF FACILITIES

POSITION SUMMARY

As a Director of Facilities, you will play a vital role in overseeing and managing all maintenance operations across the organization’s residential portfolio. This position is responsible for ensuring that all communities, maintenance facilities, building systems, and infrastructure are maintained safely, efficiently, and in compliance with regulatory standards while delivering an exceptional resident experience. 

 

The Director of Facilities develops and executes preventative maintenance strategies, establishes operational standards, oversees budgets, and leads facilities teams to drive performance, asset preservation, and continuous improvement. Your attention to safety, detailed record-keeping, and rapid response to emergencies are critical. Success in this position requires strong technical expertise, operational excellence, effective cross-functional collaboration skills, and a commitment to safety, quality, and customer service. 

REPORTS TO: SVP of Community Management

RESPONSIBILITIES, EXPECTATIONS, AND DUTIES

Strategic Leadership & Operations

  • Provide strategic leadership for maintenance operations across the residential portfolio.
  • Develop department goals, key performance indicators (KPIs), and annual operating plans aligned with organizational objectives.
  • Establish operational standards and drive continuous improvement initiatives that enhance efficiency, consistency, and service delivery.
  • Lead, mentor, and develop Facilities Managers and teams, fostering accountability, collaboration, and professional development.

Maintenance & Asset Management

  • Develop, implement, and continuously improve preventative maintenance programs, inspection schedules, and asset preservation strategies. 
  • Oversee maintenance operations to ensure timely completion of work orders, apartment turns, repairs, and capital maintenance projects.
  • Maintain accurate operational records and performance metrics using Entrata and other technology platforms.
  • Develop inventory management processes that ensure material availability while controlling costs and minimizing waste. 

 

Financial & Vendor Management

  • Develop and manage departmental operating budgets, forecast maintenance expenditures, and support capital planning initiatives.
  • Manage vendor relationships, contract negotiations, and service provider performance to ensure quality work, regulatory compliance, and cost-effective solutions. 
  • Monitor maintenance expenses and identify opportunities to improve operational efficiency while protecting company assets.

Cross-Functional Partnership & Resident Experience

  • Partner with Construction, Commercial Management, Community Management, and other internal teams to support operational goals and maintain high-quality community standards.
  • Support an exceptional resident experience by ensuring maintenance services are responsive, professional, and consistently delivered.
  • Lead coordinated responses to emergency maintenance events and unexpected repairs, minimizing operational disruption and resident impact.

Safety & Compliance

  • Ensure all maintenance operations comply with OSHA requirements and all applicable federal, state, and local regulations. 
  • Promote a culture of safety through training, policy implementation, regular inspections, and proactive risk management.
  • Ensure building systems, equipment, and facilities are maintained to support safe, reliable, and compliant operations.

 

Job Requirements:

  • Building a high-performing maintenance organization across the portfolio that consistently meets operational goals while fostering employee engagement and development.
  • Delivering preventative maintenance and asset management programs that improve equipment reliability, reduce downtime, and protect long-term property value.
  • Achieving strong operational performance through timely work order completion, efficient apartment turns, effective budget management, and high resident satisfaction.
  • Establishing trusted partnerships across departments and with external vendors to deliver quality work and support organizational objectives.
  • Maintaining safe, compliant communities by upholding OSHA standards, regulatory requirements, and company policies.
  • Driving continuous improvement by leveraging data, technology, and best practices to enhance operational efficiency and the resident experience. 

 

SKILLS, EDUCATION AND EXPERIENCE

  • High school diploma or equivalent required; bachelor's degree in construction management, Business Administration, Engineering, or related field preferred.
  • 7 years of progressive maintenance or facilities management experience, preferably within multifamily residential, commercial real estate, or a related industry. 
  • Proven leadership experience with 3 years of experience managing maintenance teams across multiple communities or locations.
  • Experience using Entrata property management software required. 
  • Valid driver’s license and ability to travel regularly between communities and company locations.
  • Comprehensive knowledge of residential building systems, including HVAC, plumbing, electrical, structural, mechanical, and life safety systems.
  • Strong understanding of preventative maintenance, asset management, and facilities operations best practices.
  • Knowledge of OSHA regulations, workplace safety standards, and applicable building codes.
  • Demonstrated experience developing and managing budgets, forecasting expenses, and optimizing maintenance resources. 
  • Proven ability to lead, coach, and develop high-performing teams while fostering a culture of accountability and continuous improvement. 
  • Strong project management, organizational, and time management skills with the ability to work effectively across departments and with external partners.
  • Strong communication and problem-solving skills are a must.
