About The Role
As the Office Manager, you will oversee all non-clinical operations of the practice, including:

- Billing, collections, and insurance processes
- Human resources and employee performance
- Facility management and clinic presentation
Key Responsibilities
Leadership & Team Development
- Lead, coach, train, and develop front desk, administrative, case management, and support staff
- Conduct onboarding, performance reviews, corrective actions, and employee development plans
- Create a culture of accountability, teamwork, professionalism, and service
- Facilitate daily huddles and team meetings
- Manage staffing schedules, PTO requests, and workload allocation
- Ensure an exceptional patient experience from first contact through completion of care
- Oversee patient schedule management, reports of findings, and treatment plan acceptance
- Monitor patient conversion metrics and identify opportunities for improvement
- Ensure all patients are properly scheduled and engaged in their care plans
- Drive patient retention, referrals, and reactivation initiatives
- Manage all day-to-day clinic operations
- Maintain clinic appearance, cleanliness, safety, and organization
- Oversee inventory, office supplies, equipment, and vendor relationships
- Coordinate facility maintenance and operational improvements
- Ensure compliance with company policies, HIPAA requirements, and operational standards
- Monitor clinic financial performance and key business indicators
- Manage cash handling, deposits, petty cash, and end-of-day reporting
- Review accounts receivable, collections, billing accuracy, and insurance aging
- Identify and resolve revenue leakage opportunities
- Help drive sustainable revenue growth while maintaining operational efficiency
- Ensure accurate reporting, audits, and documentation
- Oversee payroll reporting and timekeeping processes
- Monitor operational KPIs and prepare management reports
- Maintain policies, procedures, and compliance standards
- Collaborate with leadership on business initiatives and clinic growth strategies
Required Qualifications
- 3 years of leadership or management experience
- Proven experience leading teams and driving performance
- Strong organizational and problem-solving skills
- Ability to manage multiple priorities in a fast-paced environment
- Excellent communication and interpersonal skills
- Experience with KPI management and performance accountability
- Proficiency with business software and reporting systems
- Healthcare, chiropractic, medical, physical therapy, dental, or wellness industry experience
- Experience with patient scheduling, billing, insurance, or collections
- Multi-department leadership experience
- Background in sales, customer service, or operations management
