What are the responsibilities and job description for the Patient Experience Coordinator position at Thrive Family Chiropractic?
Job Summary
PATIENT EXPERIENCE COORDINATOR Part-Time | Thrive Family Chiropractic | Prescott, AZ
Do you genuinely love people? Are you the person who notices what needs to be done—and just handles it? And when a toddler makes a break for the front door, are you already moving before anyone has to ask?
You might be our person.
Thrive Family Chiropractic is growing our team, and we're looking for two exceptional part-time humans to help us create an incredible experience for the families we serve.
And when we say families, we mean it.
There are babies. There are toddlers. There are kids. There are parents trying to get adjusted while their little one needs someone to make faces at them for five minutes. There may occasionally be a runner.
So we're looking for someone who doesn't just tolerate children.
You genuinely like them. You're comfortable with them. You notice them. And being part of a busy, family-centered environment sounds energizing—not terrifying.
If that's you, keep reading.
WHO WE ARE
Thrive Family Chiropractic is a warm, family-centered chiropractic practice in Prescott, Arizona.
Our office is built around connection, exceptional care, and helping the people who walk through our doors feel genuinely known and supported.
We're a small team, which means every person matters.
We're not looking for someone to sit behind a desk and wait to be told what to do.
We're looking for someone who wants to become an important part of how Thrive... well, thrives.
THE PERSON WE'RE LOOKING FOR
You might be a great fit if you're the kind of person who:
- Genuinely enjoys people
- Loves babies and children and is naturally comfortable interacting with them
- Is warm, welcoming and easy to talk to
- Can answer a phone without sounding like you wish the phone had never been invented
- Notices details
- Likes organization and making sure things are handled
- Can follow systems and checklists
- Is dependable and follows through
- Can shift gears when the office gets busy
- Doesn't fall apart when you're interrupted
- Is comfortable talking about schedules, payments and logistics
- Can hold a boundary kindly
- Takes feedback well
- Is willing to learn
- Doesn't need someone standing over you to make sure things get done
- Eventually wants to own responsibilities, not simply complete assigned tasks
We're looking for the sweet spot between:
“I LOVE PEOPLE.”
and
“I LOVE MAKING SURE THINGS ARE HANDLED.”
If you're only one of those things, this probably isn't the role.
If you're both?
We really want to meet you.
WHAT YOU'LL DO
You'll start by learning the foundations of the Thrive patient experience and front office.
As your competency grows, so will your responsibilities.
Your role may include:
- Welcoming and checking patients in and out
- Answering phones, texts and messages
- Scheduling and rescheduling appointments
- Helping patients navigate questions
- Collecting payments
- Managing forms and paperwork
- Supporting new patients through the administrative side of beginning care
- Helping maintain patient schedules and administrative follow-through
- Preparing the office and schedule for the day
- Opening and closing responsibilities
- Helping maintain a beautiful, welcoming patient environment
- Noticing what needs attention and taking care of it
And because we are a family practice, sometimes “patient experience” might also look like keeping an eye on a wandering toddler or holding/entertaining a baby for a moment while Mom or Dad gets adjusted.
That's not an interruption to the job.
That's part of what makes this Thrive.
YOU DON'T NEED TO KNOW CHIROPRACTIC
We're much more interested in finding the right human than someone who already knows every system we use.
We can teach systems.
We can teach workflows.
We can teach chiropractic terminology.
We can teach you how Thrive operates.
It's much harder to teach someone to be warm, aware, dependable, curious and naturally great with people.
Bring us that. We'll teach you the rest.
As you become proficient in the core role, there may also be opportunities for additional training and expanded responsibilities, including potentially training to assist with our Insight Scan process.
HOW WE TRAIN
We don't believe in hiring someone, handing them 700 responsibilities and saying:
“GOOD LUCK!”
You'll progress through the role intentionally:
Learn → Demonstrate Competency → Take Ownership → Expand Responsibility
We want you to know what success looks like, become confident in what you're doing, and have opportunities to grow as your skills and responsibilities grow.
HOURS
We are currently hiring two part-time team members to create coverage across our patient hours.
Our current coverage needs include:
Tuesday: 7:30 AM–1:00ish and 2:00–6:00 PMWednesday: 7:30 AM–1:00ish and 2:00–5:30 PMThursday: 9:30 AM–1:00 PM and 2:00–6:30 PMFriday: 7:30 AM–1:00ish
Important: Our closing times aren't always hard stops. If you're working a closing shift, you'll need some flexibility to stay until our final patients are checked out and closing responsibilities are complete.
You will not necessarily work every hour listed above. We're hiring two people and will determine the best division of hours based on availability, fit and the needs of the practice.
Cross-training both team members is important to us so that we can create flexibility and coverage for the team.
COMPENSATION
Anticipated starting range: $18–$20/hour, depending on experience and fit.
Our intention is to create opportunities for increased compensation as training is completed and meaningful responsibilities are added and consistently owned.
We want growth in the role to actually mean something.
THIS ROLE PROBABLY ISN'T FOR YOU IF...
You really don't enjoy being around children.
You need a quiet, interruption-free environment to concentrate.
Being on the phone makes you miserable.
You strongly dislike talking about money or collecting payments.
You want to be given one task at a time and left alone to complete it.
You tend to wait for someone else to notice that something needs to be done.
Or you're looking for a job where you can simply clock in, disappear behind a desk, and clock out.
There is absolutely nothing wrong with any of those things.
They're just probably not Thrive.
THIS ROLE MIGHT BE VERY MUCH FOR YOU IF...
You love the idea of knowing the families who walk through the door.
You remember people's names.
You notice the little things.
You're the person who says, “I've got it,” and actually does.
You like being part of a small team where your contribution matters.
You want to learn.
You want responsibility.
You want to become excellent at what you do.
And you would genuinely enjoy helping create an office where families feel like they belong.
If you're reading this thinking:
“Wait...this actually sounds like me.”
Good.
That's exactly why we wrote it this way.
