JOB SUMMARY
This position provides full spectrum administrative support to the Director of Student Services including matters of a confidential nature. Handles daily work pressures, requiring a volume of work which must be completed within a specified period of time.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Essential duties of this position include the following. Employees in this position perform some or all the following tasks. Other related duties may be assigned.
- Follows and maintains knowledge of all applicable District policy(ies) and procedures.
- Performs general office duties including answering multi-line phones, greeting the public, typing, filing, sorting and handling incoming and outgoing mail.
- Provides administrative assistance to the Student Services Director as needed.
- Researches, creates, inputs, formats, organizes and edits relevant data as needed or requested and prepares in a usable format.
- Processes all outgoing student records district wide including purging, copying and tracking.
- Receives and processes all legal, medical and agency student record requests district wide in accordance with district policies and procedures.
- Maintains accurate office records including documents and forms used by program, filing, copying, creating manuals, and mailing information.
- Prepares records for SPED requests including pulling, copying, faxing, mailing and filing appropriate records and corresponding with other districts as necessary.
- Maintains accurate student records including sending and retrieving files, ensuring transcripts, grades, etc. are updated and updating student database as required.
- Processing of all District Transfers (school to school) and Admission of Non-Resident Student Requests (district to district), including entering all data on master and individual school spreadsheets, speaking with parents by phone and in person, contacting schools and districts as appropriate, generating various letters to parents and other secretarial duties and reports as appropriate.
- Completes a high volume of computer data entry work, with speed and accuracy in an environment with constant interruptions.
- Handles electronic devices and accessories for special ed students across the district, and DO based on SPED staff – including ordering, tracking inventory, checking in and out, repair tickets and trouble shooting.
- Tracks special education inventory.
- Prepares purchase orders for office supplies needed.
- Manages special projects and events as assigned.
- Appropriately maintains and secures highly confidential student records and inquiries.
- Interacts thoughtfully and courteously with students, staff, administrators, and parents and resolves conflict in a professional manner.
- Communicates clearly with coworkers and other staff.
- Dress professionally for the position.
- Provide impeccable customer service.
- Attends work daily as assigned and is punctual.
- Adheres to daily schedule.
