Position Summary
The Dispatcher is responsible for providing comprehensive support to all branch Service Department personnel by managing a wide range of administrative tasks. These include answering incoming calls, preparing quotations and estimates, opening and closing work orders, adjusting time entries, dispatching Field Service Technicians, assigning jobs to Shop Technicians, and performing other related duties as needed.
Essential Responsibilities & Expectations
- Handle incoming phone calls to the branch
- Produce quotations and estimates
- Take and deliver messages to branch personnel
- Effectively communicate with Service Department Personnel to address customer needs
- Assign jobs to Shop Technicians Dispatch Field Service Technicians
- Open and properly segment work orders applying correct codes and tax information
- Handle closing of work orders in a timely fashion
- Adjust service technician time when necessary
- Obtain Purchase Orders from customers as required
- Responsible for charging his/her time to work orders
- Fill in for supervisor when needed
Qualifications
Education
- High school diploma or the equivalent required.
Experience
- Prior clerical or administrative experience is desired.
- Experience and demonstrated skill using personal computers including Microsoft Word and Excel and basic typing skills are required for this position.
Skills and Competencies
- Strong telephone, verbal, and written communication abilities
- Excellent organizational and time management skills
- Proficient in Microsoft SharePoint
- Experienced with Microsoft Dynamics AX
