Key Responsibilities – Sales Team Administrative Support
· Process sales quotes, proposals, and order entry on behalf of the sales team
· Follow up with customers on pending quotes, open orders, and delivery schedules on behalf of sales representatives
· Schedule and coordinate customer appointments, sales calls, and meetings for the sales team
· Track and follow up on pending orders, backorders, and delivery timelines to keep customers informed
· Assist with preparation of sales presentations, product information packets, and customer correspondence
Key Responsibilities – Front Desk, Phones & Customer Greeting
· Answer all incoming phone calls promptly and professionally, directing inquiries to the appropriate sales representative or department
· Greet walk-in customers, vendors, and visitors in a friendly and professional manner
· Assist customers with general inquiries, order status, and routing to the appropriate team member
· Manage incoming and outgoing mail, packages, and deliveries
· Maintain a clean, organized, and welcoming front office and reception area
Key Responsibilities – General Office & Administrative Support
· Maintain organized filing systems for physical and digital records, contracts, and documents
· Order and manage office supplies and coordinate with vendors for routine office needs
· Prepare, proofread, and distribute internal documents, reports, and communications
· Communicate with vendors and suppliers regarding orders, invoices, and account information
Key Responsibilities – Data Entry, CRM & Reporting
· Enter and maintain accurate data in ERP and other company systems with a focus on sales and customer records
· Generate sales reports, pipeline summaries, and activity dashboards for the sales team and management
· Track and reconcile office expenses and assist with invoice processing
· Maintain logs and records for equipment, maintenance, and facilities as needed

Qualifications – Required
· 2 years of experience in an administrative, office support, or coordinator role
· Proficiency with Microsoft Office Suite (Word, Excel, Outlook, Teams)

· Ability to handle confidential information with discretion
· Comfortable managing multiple priorities in a fast-paced environment

· Friendly, customer-facing phone manner and ability to represent the company professionally to walk-in visitors
Qualifications – Preferred
· Experience working in a building materials, construction, or distribution environment
· Familiarity with ERP or CRM software (e.g., Epicor, Salesforce, or similar)
· Prior experience in a sales support, sales coordination, or inside sales administrative role
Work Environment
Primary in-office role in a professional office setting within or adjacent to a building materials operation. Occasional interaction with warehouse and production staff. Standard office equipment used daily.
