Position Overview
Third Act Wealth Management is a boutique wealth management firm serving high-net-worth families with complex financial lives. We’re hiring a Client Service Associate to be the operational backbone of the firm — the person who keeps the back office running flawlessly so our advisors can stay focused on clients.
We’re looking for an A-player who owns their work, anticipates needs before they surface, and takes pride in accuracy and follow-through. You’ll run account operations, CRM, correspondence, and the day-to-day workflow of a growing practice — with more ownership and room to grow than you’d find at a national firm.
What You’ll Own
Operations & Account Administration
• Process new accounts, transfers, deposits, distributions, and service requests with a high degree of accuracy.
• Prepare and submit account paperwork, tracking every item to completion.
• Generate and distribute account statements, performance reports, and regulatory correspondence.
• Coordinate with advisors, our custodian, compliance, and back-office teams.
CRM & Data Integrity
• Own the CRM, keeping client records, notes, and workflows current, accurate, and compliant.
• Build and maintain repeatable processes and checklists for recurring work.
Communication & Inbox Management
• Manage the firm’s inbox and client correspondence — route, respond, and follow up promptly and discreetly.
• Serve as a reliable first point of contact for client service requests, escalating complex needs to the advisor.
Client Experience
• Deliver a polished, personalized experience across every client interaction.
• Prepare meeting spaces in advance — materials, technology, and hospitality details handled before clients arrive.
• Coordinate post-meeting follow-up and milestone recognition (birthdays, anniversaries, life events).
Office & Events
• Order supplies, manage mail, and keep the office pristine and client-ready.
• Help plan and execute client seminars.

Required Qualifications
• Minimum 1 year of experience in financial services (wealth management, banking, brokerage, insurance, or similar).
• Bachelor’s degree.
• Proficiency in Microsoft Office (Outlook, Excel, Word).
• Experience with a CRM platform (Salesforce, Redtail, Wealthbox, or similar).
• Polished, professional verbal and written communication.
• Comfort with technology and AI-assisted tools — we use them daily.
Preferred Qualifications
• Experience directly supporting financial advisors or relationship managers.
• Familiarity with LPL Financial systems.
• Knowledge of account types (IRA, brokerage, trust) and financial regulations.
