The Access Manager is responsible for managing and coordinating the various functions of the scheduling and PAR teams. This individual must promote effective communication, teamwork, execution, and efficiency to support the clinical and administrative duties of the department, including the delivery of legendary customer service to each patient.
Essential Job Functions
Associate degree or equivalent experience required, bachelor’s degree preferred. Minimum of three years of experience in the healthcare industry, preferably in scheduling, with progressive responsibility, including previous supervisory experience required. One year minimum of experience with Electronic Health Records (EHR) required.

Job Summary

Essential Job Functions
- Responsible for selection, training, department orientation, development, and performance evaluation of all scheduling team employees.
- Direct and coordinate daily operations of teams by ensuring adherence to established workflows, efficiency/documentation standards, and customer services expectations. Monitor clinical demand and, as needed, reallocate resources, and/or implement new procedures or workflows.
- Research and provide guidance on escalated issues from providers, clinical staff, and patients in a timely manner and implement changes/adjustments as required. Maintain proficiency in all services areas to be an effective clinical resource.
- Monitor and manipulate practice management system to accommodate provider’s schedules, add/modify appointment types, and other changes as demand requires.
- Maintain proficiency in all services areas to be an effective resource.
- Participate in the establishment of quality improvement initiatives and adjust operations to meet/exceed quality benchmarks.
- Ensure compliance with all departmental and organizational policies, in addition to local/state/federal regulations (HIPAA, OSHA, etc.).
- Participate as an active member of the management team.
- Knowledge of healthcare industry, preferably in a hospital or large clinic setting.
- Skill in managing, coaching, and training staff.
- Skill in de-escalating tense situations such as patient complaints.
- Skill in using a computer and a variety of software, including Electronics Health Records (EHR) software, scheduling software, Word, Excel, Access, and Outlook.
- Skill in communicating in a professional manner, both verbally and in writing.
- Skill in managing multiple priorities and delegating as needed.
- Ability to convey professional demeanor and sound judgment in dealing with patients’ care, protecting patient privacy, and confidentiality.
- Ability to translate general administrative guidelines into specific action.
- Ability to work independently and in a team environment.
