Overview
We are seeking a dynamic and detail-oriented Bid Coordinator/Administrative Support/HR Support/Bookkeeping professional to join our team. This multifaceted role offers an exciting opportunity to contribute across various functions, ensuring smooth operations, effective communication, and accurate record-keeping. You will play a vital role in supporting bid processes, managing administrative tasks, assisting with human resources functions, and help maintain bookkeeping records to help drive our company's success.
Duties
- Coordinate and prepare bid proposals, ensuring all documentation is complete, accurate, and submitted on time
- Manage incoming calls using multi-line phone systems and provide exceptional customer service with professional phone etiquette
- Support HR functions such as onboarding new employees, maintaining personnel files, and assisting with calendar management for interviews and meetings
- Perform data entry tasks using Foundation and other accounting software to support bookkeeping activities
- Maintain organized filing systems both digitally and physically for easy retrieval of documents
- Assist with office management duties including front desk responsibilities, greeting visitors, and overseeing general office operations
- Help process weekly payroll using Smart Barrell.
Skills
- Proficiency in Foundation for bookkeeping and financial record-keeping
- Strong office management skills with experience in clerical tasks such as filing, data entry, and document proofreading
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
- Demonstrated experience with Microsoft Office Suite (Word, Excel, PowerPoint)
- Exceptional customer service skills combined with professional phone etiquette.
- Knowledge of office management best practices along with personal assistant experience for calendar management and scheduling
