Role Responsibilities:
Client Relations:
Business Operations Manager
- Part Time; Hybrid (primarily remote)
- Part time 10-40 hours/week (dependent on seasonality)
- During off-peak seasons, it's possible to work zero hours.
- Business Hours ar 10:00 AM-6:00 PM. Work is expected to be conducted only within business hours.
- Pay: $15-$20 / hour; dependent on experience
- Location: Must be located in Atlanta and have reliable transportation
- Job start: August 2024
Role Responsibilities:
Client Relations:
- Review client intake pipeline regularly and respond to new project inquiries in a timely manner
- Follow up with prospective clients to encourage bookings
- Coordinate meeting times between TBI & clients
- Follow project timelines and procedures to ensure timely invoicing and payment collection
- Facilitate general client communication updates throughout projects
- Manage project off-boarding and wrap up including coordinating end of project thank you gift
- Business Administration Work:
- Management of TBI CRM & project management tools such as Honeybook and Clockify
- Ensure that Standard Operating Procedures (SOPs) are followed by TBI employees.
- Creation and maintenance of client-facing materials such as project questionnaires, TBI references sheet, FAQs, design agreements, email templates, and more
- Upkeep the business’ most recent work across digital touchpoints (e.g. updating photos on the website, refreshing the digital portfolio, adding/removing assets across social channels, etc.)
- Aid Principal Designer with:
- Project management timelines and time tracking
- In-person client meeting notes and measurements
- On site project management including deliveries, unboxing merchandise, design installation, photoshoot styling, staging, & set up, etc.
- Vendor & Partner relations:
- Work closely with agency and freelance partners to aid with progress of advertising/PR efforts
- Work with Principal Designer to set up vendor accounts and source samples for projects
- Liaise with suppliers, contractors, and other vendors to procure samples, materials, coordinate deliveries, and resolve any supply chain issues
- Strong communication & writing skills - Must have experience with customer relations and/or client communication
- Candidate must also demonstrate strong communication skills with internal stakeholders such as fellow employees and principal designer
- Customer Service Orientation - Dedication to meeting client needs and delivering exceptional service to ensure client satisfaction and repeat business
- Attention to detail - Meticulousness in reviewing design plans, contracts, and project specifications to ensure accuracy and quality control
- Adaptability and Flexibility - Ability to adapt to changing priorities, project requirements, and client preferences in a fast-paced environment
- Candidate must demonstrate the ability to problem solve, think critically, and take initiative to effectively prioritize and complete tasks in a timely manner
- Must be proficient in or demonstrate ability to learn Google Business Suite products (gmail, Google drive/docs/sheets/photos, Google Business Profile, Google Admin Console)
- Must be proficient in or demonstrate ability to learn additional storage software such as BOX, Dropbox, etc.
- Knowledge of the following a plus, but not required:
- Honeybook
- Clockify
- Basic WIX experience
- General knowledge of Meta Business Suite
- Copywriting and content creation experience
- AutoCAD
- SketchUp
- Adobe creative suite
