JOB OVERVIEW

The Clinic Manager is a licensed Physical Therapist, Occupational Therapist, or Speech-Language Pathologist (SLP-CCC) who provides clinical and operational leadership for a pediatric therapy clinic. This role oversees day-to-day clinic operations, ensures high-quality patient and family experiences, and leads a team of therapists and support staff in alignment with Therapy 2000’s mission – We Improve Lives.

The Clinic Administrator fosters a collaborative, family-centered environment where therapists are supported to grow, children receive evidence-based care, and families feel empowered and informed throughout their therapy journey. Available 40 hours onsite.


ESSENTIAL FUNCTIONS INCLUDE BUT ARE NOT LIMITED TO:

Clinical and Operational Leadership

  • Oversees all clinical and administrative operations within the clinic, ensuring efficient workflows, quality patient care, and compliance with company policies and regulatory requirements.
  • Provides direct therapy services as needed (sliding scale caseload based on direct reports) to maintain clinical engagement and support staff as needed.
  • Ensures scheduling, documentation, and billing practices meet company standards and payer requirements.
  • Monitors clinic capacity, attendance, and productivity to ensure optimal resource use and positive patient outcomes.
  • Oversees clinic payroll, timekeeping, and operational reports through the EMR and HRIS systems.
  • Serves as the primary liaison for operational, clinical, and facility matters.
  • Supervises assistants as needed

Staff Management and Development

  • Provides direct supervision and leadership to a multidisciplinary therapy and administrative team (average of 15 direct reports).
  • Recruits, interviews, hires, and onboards new staff to align with clinic needs and growth goals.
  • Conducts performance evaluations, supports professional development plans, and provides coaching and mentorship to help therapists achieve excellence.
  • Facilitates regular staff meetings, case discussions, and clinical trainings.
  • Conducts shadow and mentor visits to reinforce best practices and ensure high-quality therapy delivery.
  • Coordinates student placements and ensures appropriate supervision for interns and assistants per state and national guidelines.

Family and Patient Experience

  • Champions a warm, welcoming, and family-centered clinic environment.
  • Ensures communication with families is clear, compassionate, and educational, helping caregivers understand therapy goals, progress, and home programming.
  • Supports family engagement through events, education, and collaboration with other community partners.
  • Addresses family concerns promptly and professionally to maintain trust and satisfaction.

Quality, Compliance, and Clinical Excellence

  • Serves as the clinical and compliance lead for the clinic, ensuring all therapy services meet ethical and professional standards.
  • Reviews and approves evaluations and re-evaluations for clinical accuracy and documentation quality.
  • Provides ongoing education to staff regarding documentation, compliance, and clinical excellence.
  • Leads or assists with audits, quality improvement initiatives, and corrective action plans.
  • Promotes a culture of accountability, continuous learning, and evidence-based practice.

Team Engagement and Communication

  • Creates a positive clinic culture that promotes collaboration, engagement, and professional growth.
  • Communicates regularly with the Divisional Director regarding staffing, performance, and operational needs.
  • Partners with the Community Relations and Business Development teams to support community outreach and referral relationships.
  • Participates in leadership meetings, strategic planning, and organizational initiatives.
  • Recognizes and celebrates team achievements, reinforcing Therapy 2000’s values and mission.

Other Responsibilities

  • Assists with clinic safety, emergency preparedness, and facility maintenance coordination.
  • Serves as a Super User for the EMR and assists with staff training and troubleshooting.
  • Supports continuing education and in-service opportunities to maintain staff competency and engagement.
  • Performs all duties in compliance with company policies and applicable laws.
  • Performs additional duties as assigned by leadership.
Qualifications:

QUALIFICATIONS

  • Graduate of an accredited program in Physical Therapy, Occupational Therapy, or Speech-Language Pathology.
  • Active state license and in good standing in respective discipline.
  • Minimum of 2 years of pediatric clinical experience; outpatient or center-based experience preferred.
  • 1–3 years of leadership or management experience in a healthcare or pediatric setting preferred.
  • Strong interpersonal, organizational, and communication skills.
  • Experience using EMR systems and standard office software (Excel, Outlook, etc.).
  • Must be physically and legally able to operate a vehicle as needed for clinic business.

OSHA DESIGNATION

Position has routine exposure to bloodborne pathogens.
X Position has occasional exposure to bloodborne pathogens.
Position has no occupational exposure to bloodborne pathogens.
