Our Bellevue, WA client, a privately held family office that manages investments, real estate, and affiliated business interests, is seeking an Accounting Specialist to join its team.
GENERAL DESCRIPTION:
The Recruiting Specialist serves as the primary point of contact for vendors, employees, tenants, and visitors at our Family Office Building. This role bridges front-office hospitality and back-office accounting by ensuring a professional, welcoming office environment while supporting the accounting department through accounts payable, bookkeeping, general ledger maintenance, and administrative functions.
RESPONSIBILITIES:
- Process and verify vendor invoices, ensuring all payments are accurately coded and properly authorized
- Manage the full accounts payable cycle and process payments in a timely manner
- Perform daily data entry into the accounting system
- Assist with bank reconciliations and month-end close activities
- Support general ledger maintenance and other accounting projects as needed
- Manage front-desk operations and serve as the primary point of contact for vendors, employees, tenants, and visitors
- Coordinate office supplies, deliveries, and incoming/outgoing mail
- Maintain an organized and welcoming reception area and provide a warm, professional experience for all guests
- Answer and direct calls through a multi-line phone system and respond to inquiries
- Resolve vendor billing discrepancies and coordinate with internal and external partners
- Maintain digital and physical filing systems and ensure financial and administrative records are organized and audit-ready
- Identify opportunities to improve office and accounting processes and support administrative initiatives
QUALIFICATIONS:
- Bachelor's degree in Accounting or a related field preferred
- Minimum of 2 years of clerical or administrative experience, including at least 1 year involving bookkeeping or accounting responsibilities
- Experience with accounts payable and general accounting functions preferred
- Punctual, dependable, and service-oriented
- Sound judgment with the ability to prioritize competing demands and manage time effectively
- Strong attention to detail, organizational, and communication skills
- Ability to multitask and work effectively in a dynamic environment
- Proven ability to work both independently and collaboratively
- Proficiency with Microsoft Office, SharePoint, Teams, and general technology solutions
- Ability to lift up to 20 pounds
