About the Role:
The Burke Administrative Assistant supports the daily operations of the childcare center by ensuring regulatory compliance, maintaining accurate records, and promoting a safe, high-quality, and nurturing environment for children.
Key responsibilities include overseeing children’s daily sign-in sheets; maintaining accurate attendance, health ( Including IMM-7), and incident records; and ensuring all required health documentation is current and compliant with licensing regulations. The role also involves ordering and tracking classroom supplies to support smooth program operations.
The Administrative Assistant serves as a key point of contact for families, facilitating clear and professional parent communication. In partnership with the Childcare Director, they assist with planning and coordinating center-wide events such as Open House, Fun Day, and special enrichment presentations throughout the school year.
This position requires collaboration with dedicated colleagues and community members who share a strong commitment to advancing equity, inclusion, and high-quality early childhood education.
What You will Do:
Responsibility #1: Child Safety, Supervision & Regulatory Compliance (50%)
- Ensure the safety, security, and nurturing of all children assigned to the classroom at all times, including indoors, outdoors, in hallways, on walks, and during field trips as applicable.
- Participate in daily cleaning and sanitation routines in accordance with NJ State Licensing requirements and Grow NJ Kids standards.
- Accurately document attendance, incident reports, medication waivers, and daily/weekly care sheets for each child in compliance with YWCA Princeton and New Jersey State licensing regulations.
- Maintain a classroom environment that consistently meets health, safety, and regulatory standards.
Responsibility #2: Safe, Inclusive & Compliant Environment (20%)
- Foster and sustain a safe, nurturing environment where children, families, and staff can thrive.
- Support ongoing compliance with state and federal regulations to ensure the facility remains operational and in good standing.
- Treat all children with dignity and respect, recognizing and honoring their unique qualities, strengths, and developmental needs.
- Promote an inclusive culture aligned with the mission and values of YWCA Princeton.
Responsibility #3: Relationship Building & Family Engagement (20%)
- Provide intentional, individualized attention to each child daily.
- Engage with children at eye level using calm, natural, and respectful tones to promote trust and emotional security.
- Greet every child, parent, staff member, and visitor warmly and professionally.
- Assist in setting up parent conferences and support positive family partnerships.
Responsibility #4: Organizational Learning & Professional Development (10%)
- Participate in organization-wide trainings, weekly team meetings, staff meetings, and institutional retreats.
- Actively contribute to a collaborative team culture.
- Develop professional and personal goals aligned with the mission and values of YWCA Princeton.
What You Bring:
We’re looking for someone who brings a combination of the following:
Required Qualifications
- High School Diploma or GED
- Child Development Associate (CDA) credential or Associate’s Degree (A.A.) in a related field preferred
- Minimum of 1 year experience working with children in an early childhood program
- Must hold (or obtain within 90 days of employment) ARC First Aid and CPR/AED certifications for infant, child, and adult
- Strong interpersonal and organizational skills
- Ability to prioritize tasks, work independently, and be self-directed
- Ability to work flexibly and collaboratively with staff members and volunteers
- Commitment to working with all individuals regardless of race, religion, ethnic origin, socioeconomic status, disability, or sexual orientation
Preferred (Not Required)
- Bilingual (Spanish), both written and verbal communication
- Proficiency in Microsoft Word and Excel

Compensation range: $38000 – $40000, commensurate with experience.
