Overview
We are seeking a highly organized, detail-oriented, and proactive Executive Assistant to the President to support the daily operations of our fast-paced Real Estate and Property Management Company. This role is critical to ensuring efficiency across the organization by providing high-level administrative and operational support to the President. The ideal candidate will be a very skilled office assistant who demonstrates professionalism, discretion, and the ability to manage multiple priorities in a dynamic environment.
Duties & Responsibilities
- Provide executive-level administrative support to the President, including calendar management, scheduling, travel coordination, and meeting preparation.
- Serve as a key point of contact between the President, internal teams, clients, and external partners, ensuring clear and timely communication.
- Coordinate and assist with special projects, company initiatives, and team events.
- Handle confidential information with discretion and professionalism at all times.
- Manage office operations, including filing systems, data entry, and general administrative oversight.
- Utilize QuickBooks for bookkeeping and financial recordkeeping as needed.
- Prepare and edit correspondence, reports, and presentations using Microsoft Office Suite and Google Workspace.
- Assist with contract preparation, document management, and electronic signatures using DocuSign.
- Maintain organized digital and physical filing systems for quick access and efficient workflow.
- Manage phone and email communications with professionalism and excellent customer service.
- Support the President in monitoring project timelines and deliverables to ensure follow-through on strategic priorities.
- Plan and coordinate client appreciation events, company meetings, and team gatherings.
Experience & Qualifications
- 3–5 years of experience as an Executive Assistant or skilled office assistant.
- Real Estate License preferred, but not required — must be willing to obtain a license within 6 months of hire.
- Prior experience in a real estate, property management, or professional services environment strongly preferred.
- Proven ability to manage complex schedules and coordinate multiple projects simultaneously.
- Strong typing and data entry skills with exceptional attention to detail.
- Proficient in Microsoft Outlook Calendar, Microsoft Office Suite, and Google Workspace.
- Basic financial recordkeeping is a plus.
- Excellent organizational, communication, and problem-solving skills.
- Ability to work independently, prioritize effectively, and anticipate the President’s needs.
- Professional demeanor, discretion with sensitive information, and a strong sense of integrity.
Job Type: Full-time
Pay: $25.96 - $31.26 per hour
