Staffing Coordinator

The Willows at Ramapo Rehabilitation and Nursing Center is seeking an organized, dependable, and experienced Staffing Coordinator to join our team. This key role is responsible for coordinating nursing department schedules and helping ensure appropriate staffing coverage across all shifts.

The ideal candidate is proactive, detail-oriented, and comfortable working in a fast-paced healthcare environment. Strong communication, problem-solving, and time-management skills are essential.

Responsibilities

• Create, maintain, and update nursing staff schedules

• Coordinate daily staffing assignments to help ensure adequate coverage

• Address call-outs, open shifts, schedule changes, and last-minute staffing needs

• Communicate schedule updates clearly and promptly to employees and department leadership

• Track attendance, lateness, overtime, time-off requests, and shift availability

• Maintain accurate staffing records and related documentation

• Monitor staffing levels and help minimize unnecessary overtime

• Coordinate with nursing leadership, Human Resources, and Payroll as needed

• Help ensure scheduling practices comply with facility policies and applicable regulations

• Support onboarding and schedule coordination for newly hired nursing staff

• Perform other staffing and administrative duties as assigned

Qualifications

• Previous staffing, scheduling, or workforce coordination experience required

• Experience in a skilled nursing, rehabilitation, long-term care, or healthcare setting strongly preferred

• Knowledge of nursing department roles and staffing needs preferred

• Strong organizational skills and exceptional attention to detail

• Excellent verbal and written communication skills

• Ability to handle confidential employee information with professionalism

• Ability to remain calm and resourceful when managing urgent staffing needs

• Proficiency with computers, scheduling systems, email, and Microsoft Office

• Ability to work collaboratively with employees and leadership at all levels

• Availability to respond to occasional staffing issues outside regular business hours may be required

Compensation

• Salary of up to $75,000 per year, based on experience and qualifications
