DOCUMENT CONTROL / PROJECT ADMINISTRATOR (Defense Construction Projects)
Position Summary
This individual oversees all project specific documentation associated with Department of Defense (DoD), Federal ad Defense Industrial Base (DIB construction projects. They will ensure accuracy, compliance, and timely distribution of project records within Kahua and other approved information systems ensuring compliance within contractual requirements FAR, DFARS, CMMC, NIST 800-171, Controlled Unclassified Information (CUI), and Covered Technical Information (CTI) handling requirements. This role drives seamless document control and delivers dynamic status updates that empower project teams to stay ahead and succeed.

Job Functions
- CUI Handling: responsible for safeguarding Controlled Unclassified Information per NIST SP 800-171 and company policy, including proper access controls, encryption, secure storage/transfer, logging incident reporting and audit readiness.
- Ensure all DD254 requirements and the safeguarding of sensitive information are met.
- Ensure document management practices comply with applicable FAR, DFARS, contract clauses, DD2345, DD254 requirements, and customer-specific security requirements.
- Maintain records supporting audits by government agencies, DCMA, DCAA, Contracting Officers, and Owner representatives.
- Support preparation and maintenance of CDRLs, deliverable registers, submittal logs, and contractual reporting requirements.
- Maintain auditable records demonstrating compliance with contractual obligations and project procedures.
- Ensure the accuracy and timeliness of processes and tasks while clearly communicating expectations to others.
- Establish and maintain document numbering, naming conventions, revision control, and distribution matrices.
- Ensure all project documentation is current, approved, and properly archived.
- Maintain auditable records demonstrating compliance with contractual obligations and project procedures.
- Assist site leadership team with administrative duties and file management.
- Oversee how documents are released, shared, and stored.
- Attend and take notes at meetings as deemed necessary.
- Manage access to controlled documents and maintain distribution lists.
- Maintain logs of document issuance and retrieval.
- Train project team members on document control procedures and how to use the document control management system. Implement corrective actions for document-related issues. Provide data entry and generate reports using document management software.
- Ensure that all documents are secure and confidential.
- Follow all company guidelines and best practices.
- Ability to receive methods for improvement or constructive criticism.
- Maintains and displays company values and culture.

- Experience supporting DoD, DOE, DHS, and/or defense industrial base projects.
- Knowledge of DD2345. CMMC 2.0 and NIST SP 800-171 requirements.
- Experience supporting munitions, energetics, aerospace, manufacturing or Mission Critical Infrastructure and Industrial programs.
- Previous administrative experience preferred.
- Strong organizational skills and ability to multi-task.
- Excellent communication skills, both verbal and written.
- Ability to work under deadlines and manage multiple document workflows
- Proactive and independent with the ability to take initiative.
