The White Room is seeking an enthusiastic, highly organized and personable Wedding & Catering Sales Coordinator to join our wedding and private events team.
This position is often one of the first points of contact for newly engaged couples considering The White Room for their wedding, so we’re looking for someone who can provide an exceptional first impression—whether that’s answering an inquiry, speaking with a bride or family member on the phone, scheduling a venue tour or personally showing a prospective client our event spaces.
The ideal candidate is positive, polished, detail-oriented and genuinely enjoys working with people. You should be comfortable balancing administrative responsibilities with client interaction and have the confidence and personality to help turn inquiries and venue tours into booked events.

We specialize in weddings, social celebrations and corporate events and are known for beautiful venues, exceptional food and beverage, meticulous attention to detail and outstanding customer service.
What You’ll Do
As a Wedding & Catering Sales Coordinator, you’ll support our Catering Sales Managers and Event Managers throughout the inquiry and booking process.
Responsibilities include:
- Answering new wedding, social and corporate event inquiries by phone and email.
- Providing prospective clients with accurate venue, package and event information.
- Identifying and qualifying prospective clients.
- Following up consistently with new leads.
- Scheduling appointments and venue tours.
- Conducting venue tours with prospective couples and clients as needed.
- Creating a warm, polished and memorable experience for prospective clients during tours.
- Helping communicate the unique features and benefits of our different event spaces.
- Assisting Catering Sales Managers with moving qualified prospects toward booking.
- Preparing, sending and processing contracts and related booking documents.
- Maintaining organized and accurate client and event files.
- Entering and updating client information in our systems.
- Assisting with the organization and completion of event details.
- Communicating professionally with couples, families, corporate clients and wedding vendors.
- Assisting with open houses, tastings, special events and promotional initiatives.
- Working cooperatively with Catering Sales Managers, Event Managers and other departments.
- Providing occasional social-media coverage during weddings and special events when needed.
- Assisting with other sales, administrative and event-related projects as assigned.
Venue Tours & Sales Support
This isn’t simply a desk or administrative position.
Catering Sales Coordinators may conduct venue tours for prospective couples and clients, so applicants should be comfortable speaking confidently about our venues, answering questions and creating excitement about hosting an event at The White Room.
You don’t need to be a high-pressure salesperson. We’re looking for someone who is naturally personable, knowledgeable, responsive and comfortable asking for the business and helping move a prospective client toward the next step.
Occasional Wedding & Social Media Coverage
Although this is not a social-media position, Catering Sales Coordinators may occasionally assist with Instagram Story coverage during weddings and special events.
This may include capturing and posting:
- Ceremony and reception spaces
- Décor and room transformations
- Food and beverage
- Waterfront and rooftop moments
- Entertainment and dancing
- Other event highlights
Our dedicated Social Media & Content Coordinator will be primarily responsible for our overall social-media strategy, content calendar, Reels, TikTok and ongoing content creation.

Qualifications
- At least 1 year of office administration, customer service, hospitality, sales support or related experience preferred.
- Wedding, catering, hotel, restaurant or private-event experience is a plus.
- Previous event coordination or catering-sales experience is a plus.
- Experience conducting tours, appointments or client presentations is a plus.
- Working knowledge of Microsoft Office, Word and Excel.
- Experience with CRM, event-management or database software is a plus.
- Comfortable using Instagram and capturing basic photo/video content.
- High school diploma or equivalent required.
- Bachelor’s Degree or Hospitality Management degree is a plus.
- Valid driver’s license and reliable transportation.
Schedule
This is a full-time position, generally 35–40 hours per week.
Typical office shifts may fall between approximately 9:00 AM–5:00 PM or 10:00 AM–6:00 PM 7 days a week.
Because we are a wedding and private-event venue, weekend and holiday availability is required for venue tours, appointments, open houses, special events and occasional social-media/event coverage (evenings).
Flexibility is important.
Compensation & Benefits
$20–$23 per hour, based on experience.
Additional commission and/or performance incentive opportunities may be available based on sales-related performance.
