About the Job


The White Legal Group LLC is recruiting for an experienced, well-organized Senior Legal Assistant to support the Managing Partner, Senior Counsel, and paralegals in all aspects of cases from initial consultation, client onboarding, and discovery through trial and appeal.


As a Senior Legal Assistant, you will be expected to handle various tasks including but not limited to docketing, scheduling of appointments including travel, depositions, and various meetings, filing and serving documents both state and federal, creating legal documents, opening new matters, and processing various financial related tasks, processing legal documentation, managing attorney schedules, and handling client communication. This role also offers the flexibility of full-time remote work.


This position requires extensive knowledge of employment litigation, trial procedures, federal, state and appellate court civil rules and procedures. Strong technical, organizational, and administrative skills are necessary to handle the variety of duties and responsibilities outlined below. The position handles multiple projects, requiring prioritization and flexibility.


Job Responsibilities


  • Draft and proofread correspondence and legal documents, such as pleadings and contracts
  • Research regulations, laws, and legal articles to assist with the preparation of reports, case files, and legal advice
  • Manage client billing by preparing, finalizing, and sending out bills, as well as resolving billing issues.
  • Communicate directly with clients and witnesses to schedule meetings, interviews, and depositions
  • Manage, organize, and maintain documents in paper or electronic filing systems
  • Provide general administrative assistance, such as maintaining the attorney’s calendar and travel arrangements
  • Manage and maintain legal calendars professionally and efficiently
  • Handle e-filing for various legal documents and cases
  • Draft and prepare engagement letters and basic legal documents using existing templates
  • Manage communication, including answering and directing phone calls
  • Send out invoices to clients promptly and accurately
  • Utilize the Clio software for handling legal cases and client information
  • Utilize the Next Point software for handling discovery
  • Ensure accurate records of all legal proceedings and client information. Perform administrative duties, such as scheduling calendar hearings and deadlines, organizing case files, and managing logistics
  • Maintain pleadings and discovery indexes
  • Organize exhibits, documents, evidence, briefs, and appendices
  • Implement and improve upon law firm administrative processes for more efficient workflow
  • Collect, examine, and organize evidence and other legal documents for attorney review and case preparation


Job Qualifications


  • Expertise in calendaring and scheduling court deadlines, hearings, and depositions
  • Excellent written and verbal communication skills
  • Possess excellent spelling, grammar, and punctuation skills.
  • Experience with document productions and e-discovery.
  • Strong working knowledge of Superior and Federal Courts rules and procedures.
  • Ability to handle multiple projects with changing priorities while working independently in a fast-paced environment.
  • Ability to work overtime, evenings, and weekends, as needed.
  • Strong attention to detail, ability to prioritize tasks, and excellent time management skills to meet case deadlines.
  • Strong organizational skills and ability to multitask and prioritize work
  • Proficiency in Microsoft Office Suite
  • Ability to work under tight deadlines and prioritize responsibilities
  • Demonstrated ability to maintain and handle confidential client information
  • Demonstrate quick thinking and problem-solving skills


Education and Prior Work Experience


  • A high school diploma or equivalent is required
  • A bachelor's degree or some college is preferred.
  • A minimum of 7 years of relevant work experience in a law firm.
  • Prior experience a solo or boutique law firm preferred.


Professional License or Certification


  • A secretarial certification or ABA-approved paralegal certification is preferred.


References


  • Four professional references required.
  • Must pass a criminal background check.
  • Writing sample required. 


Computer and Software Knowledge


  • Proficiency in Microsoft Office 365, including Outlook, Excel, PowerPoint, Adobe, Zoom, and Teams.
  • Experience working with a document management system, such as Sharepoint or OneDrive.
  • Preferred experience with Clio and Next Point.
  • Must be able to quickly learn new AI skills and systems.


Work Environment


  • This is a fully remote independent contractor position.
  • 30-40 hours per week.
  • Some nights and weekends may be required as the job duties demand.
