POSITION PURPOSE The Executive Meeting Manager (EMM) solicits and handles all short term group business and catering only meetings that enables the hotel to meet and/or exceed revenue goals in rooms and food and beverage. This position will selectively sell all markets, as well as corporate, government, social and association markets to maximize rooms and food and beverage revenue focusing on groups of 20 rooms peak and under and catering only meetings. Position will service group rooms two week out and meeting room only 45 days out, this is a One Stop Shop position that reports and is under the direction of the DOS. This is considered to be an entry level sales manager position that offers accomplished individuals an opportunity to grow within this opportunity or the sales community. The person who will fill this important role will be responsible for interacting with guests, clients, and associates to ensure superior guest service and to communicate the goals of the Sales department. This position is critical to the successful operation of the Sales and Catering department as well as the hotel and is a key factor in contributing to a professional environment. ESSENTIAL FUNCTIONS • Receive and respond to all customers inquires within four business hours. Negotiate and capture all profitable Rooms & Catering business in accordance with selective selling guidelines. • Solicit new and existing accounts to meet/exceed revenue goals through telephone solicitation, site inspections and written communication. Ability to arrange and recover from last minute changes, and multi-task in a busy, changing environment. • Serve as primary contact for meeting and banquet functions to ensure that while on property all preparations have been made as detailed on BEO's, last minute needs and changes are responded expediently, and communicated to the Banquet and Culinary teams. • Ensure daily execution of outstanding customer service, reservation sales process effectiveness, adherence to policies and development of strategies that optimize revenue captured from existing demand. • On a regular basis, distribute final Rooming lists and Banquet Event Orders to all applicable service staff, including Banquets, Culinary and Front Office. • Must be organized, personable and enthusiastic and keep confidentiality as the highest priority • Receive incoming calls, maintain various tracking and filing systems, generate reports and create presentations • Handle guest and associate requests, and act as a liaison between departments. • Complete Sales & Catering proposals, site visits, contracts, credit applications, draft letters and other duties.
