Company: The Wellness Way Escanaba
Job Type: Part-Time (Approx. 24-28 hours/week)
Office Schedule: Monday & Thursday 8:30-6:00, Friday 8:30-1:00

Position Overview:
The Wellness Way Escanaba is seeking a highly organized, personable, and proactive Patient Coordinator to serve as the first point of contact for our patients. Dependable attendance is required. This role is essential in creating a welcoming, efficient, and supportive experience while ensuring smooth day-to-day operations within the clinic.

Key Responsibilities:

  • Schedule and manage patient appointments; including new patient onboarding and follow-ups
  • Answer phone calls, texts, and emails in a timely and professional manner
  • Greet patients and create a positive & welcoming environment
  • Maintain accurate patient records and update information as needed
  • Coordinate patient flow to ensure efficient use of provider time
  • Process payments, verify basic insurance information (if applicable), and handle billing inquiries
  • Communicate clearly with patients regarding appointments, protocols, and next steps
  • Order and maintain inventory of lab work supplies and supplements
  • Track inventory levels and ensure timely reordering to avoid shortages
  • Maintain a clean, organized, and welcoming clinic environment, including light cleaning duties
  • Water and care for plants within the clinic
  • Restock supplies and keep all areas of the clinic prepared for daily operations
  • Assist with administrative tasks such as filing, scanning, and general office organization
  • Support the clinical team with day-to-day operations as needed

Qualifications:

  • Strong communication and customer service skills
  • Excellent organizational and multitasking abilities
  • Ability to thrive in a fast-paced, team-oriented environment
  • Detail-oriented with strong follow-through
  • Comfortable using computers, scheduling systems, and office software
  • Experience with Adobe (PDF editing, document management) and Microsoft Office Products
  • Previous experience in a medical, wellness, or customer service setting preferred but not required
