What are the responsibilities and job description for the Personal Assistant position at The Wealthy Practitioner?
Steph is building something extraordinary. Your job is to make sure nothing slows her down.
Dr. Stephanie Wigner leads a fast-growing company, speaks on stages, runs a high-performance team, and is actively helping hundreds of practitioners transform their lives. The person in this role makes sure she walks into every room prepared, every commitment is honored, and nothing — not a missed flight detail, a scheduling conflict, or a last-minute logistics gap — catches her off guard.
This is a headquarters-based, in-person role. You are physically present, handling the logistics that keep Steph operating at full capacity. You see what needs to happen before it's asked. You book the flight before she remembers the trip. You know her preferences, her schedule, and her standards — and you hold all of it with discretion.
IF YOU WORKED HERE LAST WEEK
- Steph had a speaking engagement in another city. You handled every detail — flights, hotel, ground transport, pre-event prep doc, post-event itinerary — and she stepped off the plane ready. She didn't have to think about a single logistic.
- An event venue sent revised load-in times that conflicted with Steph's travel. You caught it, rebooked the flight, updated the itinerary, and had the new version in her hands before it became a problem.
- Steph mentioned offhand she needed a gift for a key relationship. You researched three options with context, made a recommendation, ordered it, and confirmed delivery — all before she thought to follow up.
- Steph had four in-person meetings at HQ in one day. You had the room set, briefing notes ready, and a heads-up five minutes before each one. She was fully present in every meeting because you handled everything around them.
- A personal appointment needed rescheduling, a contractor needed follow-up, and a package needed to go out. None of it was on her radar by the time it was handled. That's your standard.
WHAT YOU'LL OWN
- Own all travel coordination — flights, hotels, ground transport, itineraries, and contingency plans
- Manage Steph's calendar — protect her focus time, prepare her for every commitment, and anticipate conflicts before they happen
- Run personal and professional errands, appointments, and logistics at and around HQ
- Build briefing docs and prep materials before important meetings, events, and speaking engagements
- Coordinate vendors, service providers, and external relationships on Steph's behalf
- Support in-person events, team gatherings, and speaking engagements from logistics to on-site execution
- Handle personal communications when needed — texts, personal emails, and scheduling — in her voice and to her standard
- Track open action items and follow through on delegated tasks without being reminded
WHO YOU ARE
- 2–5 years supporting a high-level executive, entrepreneur, or public-facing figure — in person, not just remotely
- Local to our HQ — this role requires your physical presence
- Proactive to the point where Steph wonders how you knew — because you paid attention and you acted on it
- AI-fluent — you use AI to research vendors, build itineraries faster, draft communications, and stay ahead of the workload; the judgment is always yours
- Discretion is not something you practice — it is who you are
- Obsessively organized — you have a system for everything and never rely on memory alone
- Warm, dependable, and low-ego — you take pride in making someone else's world run better, and that's enough
