WHAT YOU’LL DO
This role is split between events (40%) and operations client support (60%).
EVENT COORDINATION (40%)
You’ll help bring our retreats, workshops, and in-person experiences to life.
Your responsibilities include:
- Coordinating logistics with venues, vendors, and partners
- Managing run-of-show, timelines, prep lists, and travel details
- Ordering, organizing, and tracking event supplies and materials
- Supporting on-site execution: setup, flow, breakdown
- Making the experience feel elevated, thoughtful, and on-brand
- Sourcing everything needed to bring a theme or concept to life
- Managing budgets and handling receipts/purchases
We want someone who loves creating experiences that feel intentional — someone who cares about the little touches that create big moments.
OPERATIONS CLIENT SUPPORT (60%)
You’ll also help keep our backend running clean and organized.
This includes:
- Updating client trackers and spreadsheets with accurate information
- Supporting onboarding (tags, access, confirmations)
- Uploading trainings and replays inside Circle
- Handling basic client questions or routing messages to the right person
- Taking notes during team meetings organizing them in Notion
- Keeping SOPs updated and easy to follow
- Running weekly QA checks (links, Zoom rooms, workflows, GHL access)
- Assisting with launch checklists and internal tasks
- Helping keep files, folders, and documentation organized
