Located in the heart of downtown Olympia, the Washington Center has become a community gathering place, serving over 100,000 patrons each year and instilling a passion for the performing arts unique to the region.

The Washington Center for the Performing Arts is seeking an organized, energetic, detail oriented, self-motivated, service driven Accounting and Payroll Assistant who appreciates the arts and can thrive in a fast-paced, ever changing and dynamic environment. This position works and reports directly to the Accounting Director to achieve daily operations in support of the Washington Center’s mission.

Position Summary:

The Accounting and Payroll Assistant supports the Accounting Director in all accounting and payroll functions. They are the lead processor of daily work, accounts payable, income auditing, deposits, and semi-monthly union and non-union payroll. The Accounting Assistant works closely with the Accounting Director to ensure financial activity is recorded properly and in time for month-end reporting. This position requires an elevated level of knowledge and attention to detail, analysis of data, effective communication skills, and innovative thinking. Must have analytical skills and be an initiative-taker. This position must provide professional, quality customer service to artistic partners, donors, staff, and other community contacts.

Essential Job Duties and Responsibilities:

Accounting

  • Balance daily Box Office activity
  • Process accounts payable invoices, vendor paperwork including W-9 form and payments, employee credit card purchases and statements, vendor 1099s, and recordkeeping.
  • Process accounts receivable deposits and recordkeeping.
  • Settle gallery sales, concessions, and merchandise sales for all performances and events.
  • Track and manage donor invoices and outstanding payments.
  • Produce accounting, invoicing, and other reports as required.
  • Assist with bank reconciliations and general ledger accounts

Payroll

  • Process semi-monthly payroll for union and non-union employees.
  • In partnership with the HR and Benefits Coordinator, manages payroll deductions in ADP.
  • In partnership with the HR and Benefits Coordinator, maintain employee payroll records.

Administrative

  • Process donor acknowledgement tax letters in a timely manner.
  • Support the organization with data integrity by ensuring data entered is accurate, accessible, and meaningful for reporting, analysis, and forecasting.
  • Maintain clear daily sales and money handling procedures in coordination with the Box Office staff and Office Manager.
  • Maintain clear concessions and merchandise sales procedures in coordination with the Event Services Director and Office Manager.
  • Maintain clear daily procedures and processes of the job’s many tasks in coordination with the Accounting Director.
  • Other duties as assigned.

  • Proven efficiencies in accounting platforms: in particular prior experience with Sage, Microsoft Office, and ADP Workforce Now experience is preferred.

This is a full-time, hourly non-exempt position and is eligible under the FLSA for overtime and reports directly to the Accounting Director. Typical hours are Monday through Friday, between 8:00 AM - 4:30 PM. Due to the nature of our business, occasional weekend and evening hours may be required. We encourage staff to plan their weekly hours appropriately.

  • Bachelor’s degree in accounting or business administration, or equivalent number of years of experience.
  • Three (3) years of accounting-related experience. Knowledge of accounting principles, year-end processes, balancing general ledgers and bank statements, preferred.
  • Proficiency in MS Office (Excel, Word) and accounting software required
  • Working knowledge of Sage 100 or other ERP system, preferred, and ADP Workforce Now, or similar system, required.

  • Walking: Moving around the office to get files, use printers, or attend meetings.· Standing: Remaining on occasion, flexibility to be able to alternate between sitting and standing.·
  • Reaching: Extending arms to use a keyboard, answer the phone, or reach for objects at or shoulder level.·
  • Bending/Stooping: Needing to bend or stoop to retrieve files from lower cabinets or to plug or unplug equipment.·

Lifting and Carrying

  • Lifting and Raising or lowering objects, such as moving boxes or paper or other supplies.·
  • Carrying: Transporting objects, often by holding them in the hands or arms.·

Sensory and Communication

  • Hearing: The ability to hear and understand speech from colleagues in person and over the phone.·
  • Speaking: Communicating with colleagues, clients, or other stakeholders.·
  • Vision: The ability to see and read from a computer screen, documents, and from a distance.

Compensation and Benefits:

The salary range for this position is $49,920 - $58,240 based on prior work experience. Medical/dental/vision/LTD/EAP; eligible the first of the month following 30 days of continuous employment, 11 paid holidays, personal and sick leave, and up to a 3 % matching in a SIMPLA IRA.
