Job Description
Role Overview
The Personal Injury Manager – Reductions & Settlement Audit leads and scales the firm’s post-settlement operations within a high-volume plaintiff personal injury practice. This role oversees the Reductions Department and owns the accuracy, compliance, and financial integrity of all case settlements prior to disbursement.
This position combines leadership, lien negotiation oversight, and settlement auditing, ensuring that medical bills, healthcare liens, and case costs are properly reduced, verified, and documented. The goal is to maximize client net recovery while maintaining strict compliance and operational excellence.
The ideal candidate is a data-driven operations leader with strong expertise in reductions, lien resolution, settlement review, and financial accuracy, who can drive performance, improve processes, and develop a high-performing team.
Key Responsibilities
Leadership & Operations Management
- Lead, coach, and manage a team of Reductions Specialists in a high-volume environment
- Oversee all post-settlement workflows, ensuring timely case closure and performance against KPIs
- Track and manage metrics including:
- Turnaround time
- Reduction outcomes
- Closing statement completion
- Department productivity
- Utilize Litify (Salesforce) and BI tools to monitor and drive performance
Settlement Audit & Case Review
- Own the pre-disbursement audit process to ensure cases are financially accurate and compliant before funds are released
- Conduct case settlement reviews, including:
- Settlement breakdown validation
- Closing statement (HUD) review
- Settlement disbursement review
- Perform post-settlement audits to identify errors, trends, and improvement opportunities
- Ensure full audit compliance across all closed files
Financial Accuracy & Reconciliation
- Oversee:
- Financial reconciliation of settlement proceeds
- Cost verification and expense auditing
- Vendor invoice review
- Billing accuracy and write-offs/adjustments
- Validate attorney fee calculations and contingency fee structures
- Ensure complete and accurate case cost analysis before disbursement
Reductions & Lien Resolution Oversight
- Guide team on medical bill reductions and provider negotiations
- Oversee resolution of:
- Healthcare liens
- Medicare / Medicaid liens
- ERISA liens
- Subrogation claims
- Provide escalation support for complex lien negotiation strategies
- Ensure proper documentation of all negotiations and approvals
Medical Billing & File Review
- Oversee medical billing review and hospital billing audits when required
- Ensure proper medical records review supports reduction strategy
- Validate billing details, including familiarity with CPT / ICD codes when necessary
- Ensure balance verification across all settlement components
Process Improvement & Quality Control
- Identify inefficiencies in the demand-to-settlement process and implement improvements
- Develop and maintain SOPs for:
- Reductions
- Case audit
- Disbursement readiness
- Strengthen file audit / case audit protocols to reduce errors and improve consistency
Team Development & Coaching
- Provide ongoing coaching, training, and performance feedback
- Conduct regular 1:1s and team meetings
- Train team on:
- Reduction strategies
- Lien handling
- Settlement auditing standards
- Build accountability and a high-performance culture
Client Experience
- Ensure clients receive clear, timely communication regarding:
- Settlement outcomes
- Reductions
- Final disbursement
- Maintain high service standards aligned with firm expectations
Qualifications
Required
- 5 years of experience in:
- Personal injury law
- Reductions, lien resolution, or settlement operations
- Experience managing teams of 10 in a performance-driven environment
- Strong knowledge of:
- Medical bill reductions
- Healthcare liens and negotiations
- Settlement processes and case closing
- Proven ability to drive process improvements and hit KPIs
- Proficiency in Litify (Salesforce), Excel, and reporting tools
- Bilingual English/Spanish required
Preferred
- Experience in settlement auditing or financial quality control
- Strong understanding of:
- Settlement disbursement processes
- Closing statements / HUD review
- Pre- and post-settlement audits
- Familiarity with medical billing structures (CPT / ICD coding)

Additional Information
- Paid Time Off: All employees who work 30 hours per week and above qualify for Paid Time Off. You will accrue a total of 4.62 hours per pay period for a total of three (3) weeks per year.
- Health Benefits: All employees who work 30 hours per week and above will be eligible for benefits starting on the 1st day of the month following their start date. The firm covers a fixed amount which typically covers 40 - 65% of the employee premium, depending on the selected plan. The medical insurance plans include options for national coverage and free mental health services. There are also dental plans (with unlimited coverage) and vision plans to choose from at the employee’s expense.
- Disability Benefits: All employees who work 30 hours per week will have Short-term and Long-term Disability benefits, paid for by the firm.
- Life Insurance: For all employees who work 30 hours per week and above, the firm provides 1X earnings life insurance coverage paid for by the firm. In addition, you will receive a Firm paid accidental death and dismemberment benefit that matches your life insurance coverage.
- Supplemental insurance options include Critical Illness, Accident, Cancer, Hospital Confinement Indemnity insurance, Term Life insurance, and Whole life insurance
- Retirement: All employees who work 30 hours per week and above qualify for the 401(K) plan. After the employee completes one year of service, the firm will match 100% of the first 3% of employee contributions and 50% on the next 2%, with immediate vesting.
