What are the responsibilities and job description for the High School Receptionist position at The Village School?

The Receptionist is responsible for maintaining an inviting and efficient reception area, providing timely and courteous assistance, and supporting the smooth operation of the High School office. Through a warm-strict approach, the Receptionist builds positive relationships with students while consistently upholding school expectations and procedures. 

 

This role requires the ability to thrive in a fast-paced independent school environment, manage multiple priorities, remain calm under pressure, and deliver the high level of service expected by students, families, staff, and visitors. As a critical member of the school's safety and security team, the Receptionist is expected to consistently implement all visitor management, safeguarding, student supervision, and campus access procedures to help maintain a safe, orderly, and welcoming school environment.

 

QUALIFICATIONS / TRAINING:

 

  • High school diploma required; associate’s or bachelor’s degree preferred.
  • Experience in customer service, reception, administrative support, hospitality, education, or a related field.
  • Training in office systems, customer service practices, and confidentiality procedures.
  • Knowledge of school safety, visitor management, and student supervision practices preferred.
  • Commitment to ongoing professional learning and development.

  • Demonstrates exceptional customer service skills and a commitment to creating a welcoming and inclusive environment for all members of the school community.
  • Maintains an organized, professional, and inviting reception area that reflects the values and standards of the school.
  • Understands and consistently follows school safety, security, visitor management, and safeguarding procedures.
  • Supports students with a warm-strict approach that combines care, professionalism, consistency, and high expectations.
  • Communicates effectively and professionally with students, families, staff, and visitors from diverse backgrounds.
  • Demonstrates strong organizational skills and attention to detail while managing multiple priorities and interruptions.
  • Maintains accurate records and handles confidential information with discretion and professionalism.
  • Uses technology and office systems efficiently to support daily operations.
  • Experience in an international school, independent school, or educational setting is preferred.

REPORTS TO / EVALUATED BY: High School Director (or designated administrator)

 

MAJOR RESPONSIBILITIES AND DUTIES:

  • Serve as the primary point of contact for students, families, visitors, and staff entering the High School.
  • Create and maintain a welcoming, organized, professional, and inviting reception area.
  • Greet visitors warmly while ensuring all visitor management, identification, and security procedures are consistently followed.
  • Monitor access to the building and support the implementation of school safety and safeguarding protocols.
  • Maintain accurate visitor logs, student sign-in/sign-out records, and other required documentation.
  • Respond promptly and professionally to inquiries in person, by telephone, and through email.
  • Provide accurate information and direct inquiries to the appropriate staff member or department.
  • Support students with day-to-day needs while maintaining clear expectations, accountability, and professional boundaries.
  • Assist with student attendance, late arrivals, early dismissals, and related procedures.
  • Coordinate deliveries, package receipt, lost and found, and front office logistics.
  • Support administrative teams with communication, scheduling, data entry, filing, and operational tasks as assigned.
  • Monitor the reception and common areas to ensure they remain organized, professional, safe, and welcoming.
  • Support school events, parent meetings, admissions activities, and other functions as needed.
  • Maintain confidentiality regarding student, family, and staff information.
  • Collaborate effectively with administrators, counselors, teachers, security personnel, and support staff.
  • Contribute to a positive school culture by treating all members of the community with professionalism, care, consistency, and respect.
  • Uphold all school policies, procedures, safeguarding expectations, and security protocols.
