Description

The Controller is responsible for managing the day-to-day accounting operations of The Village School of Naples and ensuring the accuracy, integrity, and timeliness of the School’s financial records. This position oversees transactional accounting functions, maintains the general ledger, performs account reconciliations, supports audit activities, and assists with financial reporting. The Controller works closely with the business office team to ensure compliance with Generally Accepted Accounting Principles (GAAP), internal controls, and organizational policies.

This is a full-time, year-round position.

General Accounting & Financial Operations

  • Maintain the integrity and accuracy of the general ledger and supporting accounting records.
  • Prepare and record journal entries and maintain supporting documentation.
  • Perform monthly, quarterly, and year-end account reconciliations.
  • Assist with monthly and year-end closing processes.
  • Prepare supporting schedules for receivables, prepaid expenses, accrued liabilities, fixed assets, and deferred revenue.
  • Ensure accounting transactions are properly recorded in accordance with GAAP.
  • Research, identify, and resolve accounting discrepancies.

Student Accounts & Scholarship Administration

  • Oversee and reconcile student billing and tuition-related accounting activity.
  • Reconcile tuition management system activity and student account balances to the general ledger.
  • Assist with the administration and reconciliation of scholarship funding programs, including Step Up for Students and other state scholarship programs.
  • Monitor accounts receivable and support established collection procedures.

Accounts Payable & Payroll

  • Oversee accounts payable processing and vendor account reconciliations.
  • Review expenditure coding and supporting documentation for accuracy and compliance.
  • Process and review payroll reports and reconcile payroll activity to the general ledger.
  • Assist with employee benefit and payroll-related reconciliations.

Audit, Compliance & Reporting

  • Assist with preparation of monthly financial reports and supporting schedules.
  • Prepare audit schedules, supporting documentation, and auditor requests for the annual financial statement audit.
  • Assist with preparation of reports required by federal, state, and local agencies.
  • Ensure accounting records are maintained in accordance with applicable regulations and School policies.
  • Support accreditation and compliance reporting requirements as assigned.

Fixed Assets & Financial Systems

  • Maintain the fixed asset inventory and depreciation schedules.
  • Ensure proper accounting treatment of capital asset acquisitions, disposals, and transfers.
  • Assist with implementation and adherence to accounting policies, procedures, and internal controls.
  • Recommend process improvements to increase efficiency and strengthen financial operations.

Team Collaboration

  • Work collaboratively with the school administrators, faculty, staff, and external partners.
  • Provide excellent customer service to families, employees, and vendors.
  • Participate in special projects and perform other duties as assigned.

Requirements

Education and Experience

  • Bachelor’s degree in Accounting, Finance, or related field required.
  • Minimum of five (5) years of progressively responsible accounting experience.
  • Experience in an independent school, educational institution, nonprofit organization, or public accounting environment preferred.
  • Experience with tuition management systems, scholarship administration, and student account reconciliation preferred.

Knowledge, Skills, And Abilities

  • Strong knowledge of Generally Accepted Accounting Principles (GAAP).
  • Experience with accounting software and financial reporting systems.
  • Advanced proficiency in Microsoft Excel and Microsoft Office applications.
  • Strong analytical, organizational, and problem-solving skills.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Excellent attention to detail and commitment to accuracy.
  • Strong written and verbal communication skills.
  • Ability to maintain confidentiality and exercise sound judgment.

Physical Requirements

  • Ability to sit, stand, walk, and work at a computer for extended periods.
  • Ability to occasionally lift and carry up to 15 pounds.
  • Ability to perform essential job functions with or without reasonable accommodation.
