Position Title: Vitality Clinic Administrative Assistant
Position Overview: Responsible for professionally representing The Village and the Vitality Clinic. The Vitality Clinic is a healthcare clinic within The Village that supports residents, families and caregivers by creating a health and wellness plan for each resident to optimize their well-being. The Vitality program helps our residents take control of their healthcare and wellness while having the oversight and support of healthcare professionals. This individual serves as a support person for the staff and management of the Vitality Clinic. This position reports to the Vitality/RN Wellness Case Manager.
ESSENTIAL JOB FUNCTIONS:
- Answer telephone switchboard and provide quality customer service by directing calls to appropriate staff, answering questions and taking messages
- Perform basic first aid and take blood pressures for residents who come to Vitality Clinic, in the absence of the Vitality Nurse
- Maintain the resident/visitor Vitality visit logs and file logs as needed. Communicate observations or concerns regarding residents to Vitality staff members
- Order, maintain and track office supplies including: placing orders, manage all purchase order forms, invoices and monitor incoming supplies
- Maintain all aspects of resident health information in company approved database
- Coordinate, schedule and manage all speaking engagements
- Coordinate communication of Vitality programs, including but not limited to submission to weekly and monthly communication vehicles used at The Village
- Ensure that all essential equipment in Vitality Clinic is in proper working order and submit work orders to maintenance and housekeeping as needed
- Programming and assisting with Personal Help Buttons (PHB's) and Security Alert Buttons.
- Support the Vitality staff as needed with other duties as assigned
- Provide quality customer service in all interactions with residents, guests and staff
QUALIFICATIONS:
- High school diploma or equivalent is required
- One (1) year of clerical experience is required
- Current Certified Nursing Assistant/ Medical Assistant license
- CPR and First Aide certification or eligible
CRITICAL SKILLS/EXPERTISE:
- Excellent interpersonal skills
- Proven ability to provide quality customer service and professionalism in all interactions with residents, guests and staff
- Ability to remain calm and use common sense in stressful or serious situations
- Ability to communicate with elderly citizens in a respectful and patient manner
- Ability to effectively prioritize work
- Ability to function with minimal supervision
- Computer skills including proficiency using Microsoft Office
- Ability to operate multi-line telephone

- PC Workstation

- Fax / Printer / Copier
- Other various office equipment and supplies
PHYSICAL REQUIRMENTS:
- Prolonged sitting
- Moderate amount of walking throughout the day (including walking to main reception area and administrative offices)
- Moderate amount of bending, stooping and reaching as part of routine duties and activities
- Ability to lift up to 30 lbs(packages, supply orders, etc)
WORKING CONDITIONS:
- Indoors, heated and air-conditioned offices and common areas
- Pleasant surroundings with busy traffic area
