Scope of Job

We are seeking a detail-oriented WS Graduate Assistant (10082) to provide support with data collection, data mining, reporting, record maintenance, and document management. They will be working closely with the Faculty Systems Manager in the Office of Faculty Affairs. This position plays an important role in helping maintain accurate information, prepare reports, and support departmental operations through organized data handling and analysis. The employee will work with the Watermark system and use Microsoft Excel, Word, PowerPoint, and Adobe PDF tools to compile, review, organize, and present information. The ideal candidate will have strong technical skills, attention to detail, the ability to manage multiple tasks, and the ability to work independently while maintaining a high level of accuracy and confidentiality.

Key Responsibilities
  • Use the Watermark system to enter, update, maintain, audit, and retrieve information needed for departmental reporting, tracking, and operational support.
  • Create, maintain, and update spreadsheets, reports, summaries, and presentations using Microsoft Excel, Word, and PowerPoint.
  • Use Excel functions such as sorting, filtering, formulas, and data organization techniques to support analysis and reporting needs.
  • Prepare, organize, merge, edit, and manage PDF files and supporting documentation using Adobe PDF tools.
  • Compile information for recurring reports, audits, special projects, and requests from leadership or department staff.
  • maintain organized electronic files and documentation to support record retention, easy retrieval, and efficient workflow processes.
  • communicate with team members and stakeholders as needed to clarify information, gather missing details, and support project completion.
  • provide general administrative and technical support related to data processing, reporting, and document preparation.

Tentative work schedule: Any time between Monday-Friday 8:00am - 5:00pm (office hours)

  • Must be admitted to a graduate degree program.
  • Must be in good academic standing.
  • Be registered full-time for the respective semester-nine (9) semester credit hours during the fall semester, nine (9) semester credit hours during the spring semester, three (3) semester credit hours during the summer session-or be registered in the required number of semester credit hours to fulfill the only remaining requirements of the degree plan.
  • Must be Workstudy eligible.
  • Experience using the Watermark system for data entry, reporting, tracking, or record management.
  • Proficiency in Microsoft Excel, Word, and PowerPoint.
  • Experience using Adobe PDF tools to create, edit, combine, and manage documents.
  • Demonstrated experience with data entry, data mining, reporting, or document management.
  • Strong attention to detail and accuracy.
  • Ability to handle confidential information with professionalism and discretion.
