Job Summary
The Graduate Medical Education Credentialing Manager is responsible for managing all credentialing, onboarding, and administrative processes for visiting fourth-year medical students and residents. This includes oversight of applications, documentation, and compliance requirements, as well as serving as the primary liaison with medical schools and sponsoring residency programs. The manager also serves as the institutional gatekeeper for internal resident rotations, collaborating with departments, program administrators, and managers to ensure departmental capacity is monitored and maintained. By maintaining accurate records, facilitating timely evaluations, and supporting learners throughout their rotations, this position ensures a smooth, compliant, and well-coordinated experience for all participants.
Major Responsibilities/Duties/Critical Tasks
Medical Students (VSLO 4th-Year):
- Manage credentialing, onboarding, and the VSLO 4th-year student database, ensuring applications, documentation, compliance requirements, and records are accurate and complete.
- Work with Program Directors to review applications and extend rotation offers to students.
- Coordinate and deliver block orientation sessions for visiting medical students, providing a consistent, high-quality introduction to institutional expectations, policies, and resources.
- Serve as primary liaison with medical schools regarding attendance, evaluations, and other administrative requirements.
Residents:
- Serve as the institutional gatekeeper for internal resident rotations, collaborating with departments, program administrators, and managers to manage scheduling and ensure departmental capacity is maintained.
- Oversee credentialing and onboarding for external visiting residents, ensuring accurate documentation and compliance with institutional requirements.
- Partner with the Graduate Medical Education Accreditation Manger to ensure all Program Letters of Agreement (PLAs) are processed for all visiting residents.
- Ensure all PLAs are tracked and stored using the residency management systems New Innovations.
- Monitor completion of evaluations and provide administrative oversight for visiting residents, maintaining communication with sponsoring residency programs regarding attendance, evaluations, and compliance matters.
Additional Responsibilities:
- Work with the Executive Director on new hire onboarding activities for incoming residents and fellows.
- Serve as a cross-trained resource, floating to support other Graduate Medical Education positions as needed.
- Participate in Graduate Medical Education committees and contribute to process improvements that strengthen credentialing and rotation management.
- Assist with planning and coordination of Graduate Medical Education-related events, including orientations, retreats, and graduation ceremonies.
- Other duties as assigned.
Required Education/Experience
- Bachelor’s degree in a related field
- 5 Years of related experience, including 3 years of GME/UME experience.
- Familiarity with ACGME and/or LCME requirements required.
- Proficiency with residency management systems such as New Innovations or MedHub.
Preferred Education/Experience
- Master’s degree preferred.
- Experience with VSLO

The retirement plan for this position is Teacher Retirement System of Texas (TRS), subject to the position being at least 20 hours per week and at least 135 days in length.
