Purpose The Senior Manager, Finance Operations, oversees financial activity and reporting for University Events & Experience (UEE) and the University Development Office (UDO). This role streamlines processes, ensures financial accuracy and compliance, and collaborates with university teams and external stakeholders to support university events. Responsibilities Manage UEE financial operational activities, including event budget tracking, P.O. and contract processing, payment processing, assist with developing annual event budgets, and expenditure reporting. Oversee the day-to-day business workflows related to preparing, packaging, and verifying materials for contacts, purchase orders, invoices, payments, procurement, credit card transactions and reconciliation, inter-departmental transfers, Official Occasion Expense Forms (OOEF) or other documentation, and travel reimbursements. Develop, document, and implement efficient processes and procedures to enhance financial accuracy, stewardship, and compliance with institutional and regulatory requirements. Ensure compliance with UT Austin and UT System financial policies and procedures, maintaining auditable records and supporting internal and external audits as needed. Supervise the event finance team and coordinate with UDO Finance in fostering a collaborative and accountable team environment. Partner with UEE and UDO leadership to identify strategic solutions to advance fiduciary stewardship and ensure compliance. Conduct thorough reviews of event procurement details, codes, supporting documentation, and finalization of UEE events. Prepare, complete, monitor, and archive all University-mandated documentation pertinent to each event. Collaborate with finance team members to streamline processes and ensure transparent reporting to other university departments. Additional duties or special projects as assigned to benefit the UEE team and UDO. Required Qualifications Bachelor's degree in a closely related field or foreign equivalent. Five (5) years of relevant professional experience, such as finance, program management, operations, or higher education administration. Strong organizational skills with the ability to coordinate multiple projects and oversee complex administrative and financial processes in a fast-paced environment. Demonstrated ability to interpret, implement, and maintain compliance with institutional policies and procedures, especially regarding financial stewardship and procurement. Comfortable working within financial and project management systems to track progress, allocate resources, and coordinate tasks efficiently. Demonstrated ability to work independently with minimal supervision, exhibiting strong interpersonal, communications, and problem-solving skills. Exceptional attention to detail in documentation, recordkeeping, and reporting, ensuring accuracy and transparency in all event-related transactions. Ability to communicate effectively and professionally with internal and external stakeholders, including vendors and university departments, to provide timely updates and resolve issues. Proficiency with spreadsheet and word processing applications (Microsoft Suite Applications and Smartsheet preferred). Flexibility to work outside standard hours and provide on-site support for events as needed. Relevant education and experience may be substituted as appropriate. Preferred Qualifications Seven (7) years of relevant experience managing financial data and account activity within a university or event services environment. Strong organizational and communication skills. Proficiency with electronic and paper financial documentation processing. Ability to work collaboratively with cross-functional teams. Strong knowledge of university purchasing procedures and compliance requirements. Experience supporting large-scale events and working with various stakeholders. Demonstrated ability to meet tight deadlines and manage competing priorities. Salary Range $75,000 depending on qualifications and experience Working Conditions Works in standard office conditions, in a shared office environment, with repetitive use of a keyboard at a workstation Monday through Friday, 8:00 AM – 5:00 PM on-site work is the standard expectation for this position May require additional hours during peak periods and special events. Regular and consistent attendance is required in this job. Must be eligible to work in the United States on a full-time basis for any employer without sponsorship.
