    Purpose

    The Administrative Support & Training Coordinator is responsible for providing administrative support, training coordination, and instruction to the Mine Safety and Health Administration (MSHA) within Texas Engineering Executive Education (TxEEE). The position serves as a point of contact for external customers and industry partners, the role coordinates on-site and virtual training programs and enrollments and supports both in-house and contract instructors. The role delivers MSHA, First Aid, and other safety training throughout the United States, assists with curriculum development and implementation, and participates in industry conferences, mine rescue competitions, safety meetings, and related events.

    Responsibilities

    Administrative Training Coordination

    • Maintain the master training calendar, process open-enrollment registrations, send out expiring registration notices and issue course confirmations, invoices and receipts.
    • Serve as a point of contact for external clients, manage inbound and outbound inquiries and communications via email and phone, conduct timely customer follow-up.
    • Collaborate with clients to schedule on-site and virtual training programs and events.
    • Complete and distribute post-training documentation.
    • Provide technical assistance during virtual training.
    • Assist in-house and contract instructors with course materials, supplies and inquiries.
    • Shipping materials and Inventory upkeep.


    Conduct On-site and Virtual Instruction, and Industry Engagement

    • Plan, organize, coordinate, and conduct full-day (on-site and virtual) MSHA and First Aid and other Safety training programs necessary.
    • Assist and attend MSHA Mine Rescue Events across the United States.
    • Assist with and participate in industry conferences and safety association meetings and events.


    Curriculum Development

    • Review, develop, and update training curricula and instructional materials.
    • Oversee proper utilization, maintenance, and inventory of program equipment.
    • Stay current with developments in Mine Safety and Health and Occupational Safety and Health and Medic First Aid regulations.


    Perform other duties as assigned

    Required Qualifications

    • Bachelor’s degree
    • Five years of experience in a related field
    • Experience with MS Office (Outlook, Word, Teams, Excel, Word, Power Point) and ZOOM
    • Strong organizational, time management, and interpersonal skills
    • Excellent professional presentation and communication skills
    • Ability to work as a team member and independently with minimal supervision
    • Ability to handle multiple projects in a fast-paced environment and meet deadlines
    • Ability to travel overnight and weekends when needed for off-site Safety training engagements and events


    Relevant education and experience may be substituted as appropriate

    Preferred Qualifications

    • Bachelor’s degree
    • Approved Instructor in Mine Safety and Health Administration (MSHA)
    • Approved Instructor in First Aid/CPR
    • At least least three years of experience in instructing adults, in both the public and private sectors
    • At least three years of experience in developing curriculum for programs
    • Education and/or experience in OSHA training(s)
    • Fluent in Spanish language (verbal and written)


    Driving Required

    This job requires a class "C" operator's driver's license. The applicant selected must provide a current and valid driver’s license. If not currently a Texas resident, a Texas driver's license must be obtained within 30 days of becoming a Texas resident.

    Salary Range

    $55,000 depending on qualifications

    Working Conditions

    • Work is performed both in a standard office, home office and off-site environments.
    • Work alone and within a team. When instructing or in special circumstances, in a group setting.


    Work Shift

    • Standard business hours are Monday – Friday, 8 a.m. to 5 p.m.
    • Work outside of normal business hours may be required on a periodic basis during peak periods or for trainings and special events.
    • Ability to travel overnight and weekends when needed for off-site Safety training engagements and events
    • Requires travel via university, personnel, or rental vehicle to various intrastate and interstate locations.

    Employment Eligibility:

    Retirement Plan Eligibility:

    The retirement plan for this position is Teacher Retirement System of Texas (TRS), subject to the position being at least 20 hours per week and at least 135 days in length.
