Job Description
The University of Tennessee Foundation, Inc (UTFI) invites applications and nominations to fill the position of Advancement Assistant III for the UC Foundation. Reporting to the Assistant Director of Advancement, the Advancement Assistant III is responsible for supporting advancement operations through accurate data entry, event tracking, and gift documentation management.
Responsibilities
Job responsibilities include, but are not limited to:
Data and Records Management: Support event registration and attendance tracking and related processes, including constituent lookups, spreadsheet organization, and use of templates to ensure accurate data uploads. Maintain and update biographic and demographic constituent records, and assist with updating and organizing fund/designation data and confidentiality form tracking to ensure accurate and well-documented records.
Gift Processing and Donor Support: Assist with gift processing during peak periods, donor segmentation, list pulls, and receipting and pledge reminders. Respond to donor inquiries via email, phone, or mail in a timely and professional manner.
Systems and Process Management: Support system testing, validation, and special projects such as naming convention standardization and historical record cleanup. Assist in developing and maintaining standard operating procedures for recurring tasks and ad hoc requests.

Qualifications
Required Education and Experience

- High School degree or equivalent
- 1 years of data entry experience, including regular use of Microsoft Excel
- Strong attention to details and accuracy
- Ability to manage multiple tasks and meet deadlines
- Basic understanding of data organization and record maintenance
Preferred Education And Experience
In addition to meeting the required qualifications, the preferred candidate will have:
- Experience working with databases and systems, like Salesforce or similar donor databases
- Familiarity with nonprofit or higher education fundraising environments
- Experience supporting gift processing or advancement services operations
