Department Alumni Engagement Compensation $17.00 to Negotiable Hourly General Description / Primary Purpose The Executive Secretary, under the direction of the Director of Alumni Engagement and/or Annual Giving plays an integral role in the budget maintenance, events/program coordination, and volunteer recruitment. Job Function Responsibilities include, but not limited to: - Acts as an office manager; coordinates and prioritizes administrative duties. - Assists with preparation and programming for Alumni Association and coordinates internal and external contacts and communications for the unit - Arranges for meetings, conferences and social functions and events. These arrangements include but not limited to; assisting in composing, printing, and sending invitations; determining appropriate location, room space and time; ordering refreshments; notifying police for parking location and reservations; and ensuring the proper signage is displayed. - Inform staff on budget status and provide guidance and assistance for budget proposals and funding sources - Maintains, monitors, and reconciles State E&G and Foundation budgets - Serves as support for search committees, for the operations of the UDAE unit. - Makes travel arrangements and handles all paperwork involved in reimbursement for travel expenses. - Maintains inventory and handles purchasing of office supplies. - Coordinates general building maintenance and purchases items used in the common areas. - Maintains a procedures manual for this position. During declared campus emergencies, this position may be required to perform specific job related duties at a designated off campus location or place of residence. Required Qualifications High school diploma and 4 years of relevant experience. Or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219.
