Position Overview
The District Administrator plays a vital role in supporting the mission and ministry of the Southwest District of the Alabama-West Florida Conference of The United Methodist Church. This position provides key administrative, communication, and financial support to the District Superintendent, local churches, and clergy. The role includes maintaining accurate records, coordinating logistics for meetings and events, handling communications, and serving as a resource to clergy and laity.
Principal Duties and Responsibilities
- Maintain district clergy and church files, both digital and physical
- Provide administrative support for charge conferences, appointments, scheduling, and other district-wide initiatives
- Prepare and distribute the district newsletter and other electronic communications
- Support churches and clergy in completing and submitting required reports
- Maintain district calendar and webpages in coordination with the Conference Office
- Coordinate and host Zoom meetings, including technical setup and scheduling
- Provide event support including promotion, logistics, and registration
- Handle bookkeeping responsibilities, for expense tracking and reporting
- May provide administrative support to district committees and events
- Serve as a liaison between local churches and conference-level resources
- Support preparations for the Annual Conference and other conference-level initiatives
- Other duties as assigned by the District Superintendent or Conference Office
Qualifications and Skills
- Prior Experience with accounting software, i.e. QuickBooks, Peachtree, SAGE
- Microsoft Word, Excel, Outlook, Google Drive, and Zoom
- Strong organizational skills and attention to detail
- Excellent verbal and written communication skills
- Ability to handle confidential and sensitive information with discretion
- Friendly and professional interpersonal skills when working with clergy, church staff, and volunteers
- Ability to work independently with minimal supervision as well as collaboratively within a team
- Familiarity with The United Methodist Church’s structure and values
- Comfortable managing multiple deadlines and tasks in a fast-paced environment
- Willingness to learn conference-specific software and systems
- Some local travel may be required for meetings or events
Working Conditions and Environment
This role is primarily office-based in Mobile, AL, with flexibility for hybrid work arrangements. The position requires sitting, computer use, light lifting (under 25 lbs.), and occasional evening or weekend responsibilities. The office environment is generally quiet and professional.
