Administrative Assistant
The California-Pacific Annual Conference of The United Methodist Church is seeking an Administrative Assistant to support the Connectional Ministries area. This role provides comprehensive administrative support, including document preparation, records and database management, coordination of communications, and general assistance to Connectional Ministries leadership and programs.
Essential Functions:
- Maintain, organize and update digital files and databases, including financial and correspondence records.
- Coordinate the creation, distribution, and management of registration materials; provide periodic reports, process deposits, and maintain accurate records.
- Respond to email, phone, and written correspondence in a timely and professional manner.
- Prepare and generate database reports as requested.
- Assist with maintaining and updating the conference calendar.
- Provide administrative support to the Executive Director, Directors, and Associate Directors of Connectional Ministries.
- Other duties as assigned.
Qualifications:
- High School Diploma is required. Some college or technical training preferred.
- Minimum of three years of secretarial/administrative support experience, preferably in a non-profit religious environment.
- Skilled in administrative operations and fostering positive external relationships.
- Ability to handle confidential information with discretion.
- Excellent time management and organizational skills.
- Self-motivated, able to plan ahead and work within deadlines.
- Excellent verbal and written communication skills.
- Ability to multi-task.
- High level of proficiency with MS Office products including Outlook, Word, Excel, PowerPoint.
- Bilingual English/Spanish preferred.
- Knowledge of and familiarity with the United Methodist polity and structure, as well as the California-Pacific Annual Conference, is helpful.
Additional Considerations:
- $19- $22 per hour
- This is a part-time position
- This position requires regular onsite presence at our Pasadena office.
