Operations Specialist

The United Brokers Insurance Agency
Rancho Cordova, CA Full Time
POSTED ON 4/8/2026
AVAILABLE BEFORE 6/7/2026

The Role Read This First

This is not a desk job where you manage a system and wait for things to come to you. The Operations Specialist is the connective tissue between Evoove’s clients, agency partners, recruiters, and internal operations teams. You are the person clients and recruiters call when something needs to happen, and you make it happen.

You will be in the field doing onsite visits, managing rollover and acquisition events, keeping onboarding compliant, supporting full-cycle recruiting for direct accounts, and making sure payroll has everything it needs before the deadline. You will also be the first line of resolution when things go sideways. This role touches everything, and that is the point.

If you need a tightly defined lane and a quiet inbox to do your best work, this is not the role. If you thrive in high-volume, fast-paced environments where no two days look the same, and you take pride in keeping operations clean and clients taken care of, keep reading.

What You Own

1. Client & Agency Relationships in Your Territory

You are the primary point of contact for clients and agency partners in your designated territory. Weekly onsite support, proactive check-ins, and relationship management are the baseline. When clients have a need, a question, or a problem, you are the first call and the person who owns the resolution.

2. Onboarding Compliance & Rollover Events

New client onboarding and rollover/acquisition events are yours to lead. That means being the single on-site point of contact, training recruiters, managing the flow of the event, monitoring onboarding status and form completion, and ensuring every item is connected with internal departments before the first day on Evoove payroll. Nothing slips through without your eyes on it.

3. Full-Cycle Recruiting for Direct Accounts

For Evoove Direct accounts, you own the full recruitment lifecycle, posting, sourcing, screening, submitting candidates for client review, confirming offers, verifying compliance, and getting candidates set up on their assignment for payroll processing. You stay in communication with both the employee and the client through the entire process.

4. Payroll & Billing Compliance

You are the liaison between clients, employees, and the payroll department. You ensure all items are collected and compliant before the payroll deadline, support the time validation coordinator with timecard processing and order setup, and for PO/job number clients in restoration own weekly AR communication to ensure accounts stay within terms and payments are made on time.

5. Operational Integrity

Daily and weekly work order maintenance, compliance reporting, safety walkthroughs, and conflict resolution at the employee level are all part of the role. You generate and review weekly compliance reports including sexual harassment prevention certification status, coordinate with recruiters on timely completion, and surface operational issues before they escalate.

What Winning Looks Like

At 60 days: You know your territory, your clients, and your agency partners. Onboarding events in your territory are running clean. Clients are hearing from you proactively, not just when there is a problem. Payroll is receiving what it needs from you before the deadline, consistently.

At 90 days: Work orders are current, compliance reports are accurate, and your AR accounts are within terms. You are handling employee-level conflicts independently. Your direct account recruiting pipeline is active, and you are submitting qualified candidates without being pushed.

Who You Are

You are not someone who waits to be told what needs attention. You see what is slipping, you pick it up, and you keep moving. You are organized enough to manage multiple priorities simultaneously, personable enough to hold relationships under pressure, and disciplined enough to keep compliance clean in a high-volume environment.

Required

  • 2–4 years of experience in staffing, operations, or HR; light industrial or restoration staffing experience strongly preferred
  • Bilingual English/Spanish professional fluency required. This is a client-facing, field-facing role and this capability is essential.
  • Familiarity with payroll systems (ADP, Paychex, or equivalent) and ATS/HRIS platforms
  • Working knowledge of PO/job number tracking, certified payroll, and lien submittals
  • Proficient in Microsoft Office with solid Excel skills (formulas, filters, pivot tables)
  • Valid driver’s license and ability to travel to client sites within your territory

Strong Advantage

  • Experience leading onboarding or rollover events for staffing clients
  • Full-cycle recruiting experience in a staffing or light industrial environment
  • Prior AR or billing coordination experience in a staffing or services environment

What Will Not Work Here

  • Waiting for someone to tell you what needs attention. This role requires self-direction and proactive follow-through across multiple workstreams simultaneously
  • Letting compliance items slide, missing payroll deadlines, incomplete onboarding documentation, and late AR follow-up have direct operational and financial consequences
  • Poor communication under pressure clients, recruiters, employees, and internal teams all need clear, timely, and honest updates from you
  • Inflexibility around schedule or travel to onsite visits and field events. This is a core part of this role and not optional
  • Candidates who are uncomfortable with conflict or ambiguity you will be managing field-level employee issues and shifting priorities daily

Basic Qualifications

High school diploma required; Associate’s or Bachelor’s degree in Business, HR, or related field preferred.

  • 2–4 years of experience in staffing, HR, or operations required; light industrial or restoration environment strongly preferred.
  • Bilingual English/Spanish required professional fluency in written and verbal communication.
  • Familiarity with payroll systems (ADP, Paychex, or equivalent); ATS/HRIS experience a plus.
  • Understanding of PO/job number tracking, certified payroll, and job lien submittals.
  • Proficient in Microsoft Office; mid-level Excel skills required (formulas, filters, pivot tables).
  • Excellent interpersonal, communication, and conflict-resolution skills.
  • Highly organized and detail-oriented; able to manage multiple priorities in a fast-paced, high-volume environment.
  • Flexible and willing to adjust schedule and travel to client sites, field offices, and job locations as needed.

Why This Role Is Different

Evoove is not a traditional staffing agency. We are a centralized staffing solutions platform built to eliminate the friction in how employers and workers connect. The Operations Specialist is at the center of how that promise gets delivered in the field, in the data, and in the relationships that make the model work.

This is a role where your work is visible, your impact is measurable, and the people you support, clients, agency partners, and field employees, know who you are. If you want a role where you are genuinely making operations work rather than just processing transactions, this is it.
