Customer Service Representative
Organization
Reports to the Customer Service Supervisor
Accountability
Carries out all customer service activities such as responding to customer inquiries, processing orders, and handling complaints in a prompt, courteous, and effective manner. Answers phone calls, greets visitors, schedules appointments, and performs other clerical duties as directed.
Main Responsibilities
- Daily email communication with assigned customers or facility customers
- Schedule appointments in the online scheduling system
- Create, process, and input all customer orders received by email or EDI
- Check all customer orders for accuracy and any special requirements
- Create work orders for all special requirements and submit them to the warehouse
- Communicate all customer requests directly to the supervisor and warehouse supervisor as required
- Create inbound receipts in the WMS and manage timely inbound closures
- Communicate any inbound discrepancies to the appropriate warehouse staff for verification
- Communicate any verified inbound discrepancies to the appropriate customer
- Invoice individual inbound receipts and check for accuracy
- File inbound documentation in appropriate file folders and file cabinets
- Log and update all outbound charges and charge types in the pallet exchange system (WMS)
- File outbound documentation in the appropriate file folders and file cabinets
- Bill work orders on a daily basis
- Perform month-end billing for assigned customers on the last working day of every month (overtime may be required)
Occasional Duties
- Cover Shipping/Receiving duties during lunches, breaks, or peak periods (see Shipping/Receiving job description)
Qualifications
Education
- High school diploma or equivalent
Experience
- Minimum 1 year of customer service experience with clerical duties
- Logistics/warehousing background preferred
Knowledge
- General office knowledge, including telephone techniques and basic computer skills in a customer service environment
- Proficiency with Microsoft Office applications (Excel, Word, Outlook)
Pay: $19.25 per hour
