We are seeking an organized, proactive, and sharp Executive Assistant to support the ownership and general management team at Union Bar & Grill.
In this role, you will act as the operational right hand to business leadership, managing administrative workflows, staff scheduling support, vendor communications, financial tracking, and event logistics. The ideal candidate is a master multitasker who thrives in a fast-paced environment and possesses exceptional communication skills.
Key Responsibilities
- Executive Administrative Support: Manage ownership calendars, organize business files, monitor emails, and draft internal communications.
- Financial & Inventory Coordination: Organize invoices, verify delivery receipts, assist with vendor billing inquiries, and input inventory tracking data.
- HR & Staffing Assistance: Assist with FOH/BOH employee onboarding, track certification records (ServSafe/I-PLEDGE), collect timecards, and support shift scheduling.
- Event & VIP Coordination: Coordinate private party inquiries, organize venue bookings, handle event correspondence, and oversee day-of setup logistics.
- Vendor & Supply Management: Track venue supply levels, place routine food/beverage/office orders, and maintain relationships with local suppliers.
- Operational Reporting: Compile daily sales summaries, shift logs, and labor cost reports for ownership review.
Qualifications & Requirements
- Experience: 2 years of experience in an administrative assistant, office coordinator, or executive support role. Background in hospitality or high-volume customer service is a strong plus.
- Software Proficiency: Strong skills in Microsoft Office (Excel, Word), Google Workspace, and basic scheduling/POS software.
- Skills: Outstanding organization, sharp attention to detail, strong problem-solving skills, and absolute discretion with business matters.
- Availability: Primary daytime office hours, with flexibility to assist during major venue events or game days as needed.
