What are the responsibilities and job description for the Client Service & Operations Coordinator (Part-Time with Path to Full-Time) position at The Trusted Advisor Toolkit?
You will only be considered for this position if you email your responses to the screening questions listed at the bottom of this job description to McKenna@AdvisorPACT.com.
About the Role
Palmetto Coast Advisors is a boutique, fee-only advisory firm serving a select group of families through long-term planning relationships. We're hiring a Client Service & Operations Coordinator to work directly with the firm's founder.
This is not a typical administrative job. The firm runs on a documented, AI-assisted workflow that handles meeting follow-up, document drafting, and filing, and you will be its day-to-day operator. The role comes down to three things:
Responsibilities
- Run the system. Check the firm's automated workflow every day. Confirm files landed where they should, catch breakdowns early, and fix or escalate them. Over time, you'll help improve the firm's processes and operations. You don't need to be a programmer. You do need to be comfortable with technology, quick to learn new software, and genuinely interested in working with AI tools.
- Drive action items to completion. Every client meeting produces a task list, and you own it: new account applications, transfer paperwork, service forms, scheduling, and follow-through until each item is done. Precision matters here. A single wrong digit on a transfer form is a real problem.
- Take care of people. You'll often be the first voice or email a client encounters, and you'll coordinate with clients' CPAs, attorneys, and insurance professionals. Warm, professional communication is non-negotiable.
What we're looking for
- Exceptional attention to detail and follow-through
- Fast learner with new systems and software, comfortable using AI tools
- Able to manage multiple priorities without dropping details
- Professional written and verbal communication
- Discretion and confidentiality with sensitive information
- Works independently after training, and knows when to ask
- Takes ownership instead of waiting for instructions
Financial services experience is not required. We are willing to train the right person. We are looking for someone who is dependable, organized, eager to learn, and committed to delivering an exceptional client experience.
Compensation & Schedule
- Part-time W-2 position, approximately 20–25 hours per week
- Primarily remote, with occasional in-person meetings in the Charleston, SC area
- Competitive hourly pay based on experience
- Real path to full-time as the firm grows
